Position Overview
Our client is seeking a highly motivated and detail-oriented Executive Assistant with strong proficiency in Microsoft Office, particularly Word and Excel. The ideal candidate will play a critical role in ensuring the smooth operation of executive-level functions, providing top-tier administrative support, and contributing to the efficiency of the leadership team. This position is perfect for someone who thrives in a fast-paced, deadline-driven environment and possesses advanced technical skills to support day-to-day business needs.
Key Responsibilities
Executive Support: Provide comprehensive administrative support to executives, including calendar management, travel coordination, and email correspondence.
Document Preparation: Create, edit, and format complex documents, reports, and presentations using Microsoft Word and PowerPoint.
Data Management: Leverage advanced Excel skills (e.g., pivot tables, VLOOKUPs, macros, and data visualization tools) to organize, analyze, and present data for executive decision-making.
Meeting Coordination: Schedule and organize meetings, conferences, and events, including preparing agendas, taking minutes, and following up on action items.
Communication and Liaison: Act as the primary point of contact between executives, internal departments, and external stakeholders, ensuring effective communication and timely responses.
Project Assistance: Assist with special projects, providing organizational and administrative support to meet deadlines and deliverables.
File Management: Maintain and organize digital and physical files, ensuring documentation is accessible and up-to-date.
Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.
Requirements
Proficiency in Microsoft Office Suite: Advanced skills in Microsoft Word (e.g., templates, mail merge) and Excel (e.g., data analysis, financial modeling, automation).
Experience: Prior experience as an executive or administrative assistant is required, preferably supporting senior leaders or C-suite executives.
Organization: Strong organizational skills with keen attention to detail and the ability to manage multiple priorities simultaneously.
Communication: Excellent verbal and written communication skills.
Problem Solving: Proactive mindset with strong problem-solving abilities and the capacity to work independently.
Adaptability: Flexibility in handling evolving priorities and ad hoc tasks.
Technical Aptitude: Familiarity with CRM software, ERP systems, or other productivity tools is a plus.
