Pinelake Church Administrative Assistant-Recruiting (One Church Team) in Flowood, Mississippi

Summary:

The primary responsibility of the Administrative Assistant (Recruiting) is to provide administrative support the Director of Recruiting by coordinating, organizing, and directing the administrative functions of Pinelake's Recruiting team and facilitating collaboration across Pinelake's campuses and ministry areas.

General responsibilities:

  • Works in coordination with the overall goals and objectives of the Recruiting & Staffing team and Pinelake Church.

  • Assists the Director of Recruiting to work toward excellence in all areas of the department, providing administrative assistance for all activities that support the recruiting team's strategies.

  • Assists other staff members, when needed, to support teamwork and contribute to the successful completion of their objectives and strategies.

  • Basic personal responsibilities:

  • Maintains a vital and growing personal walk with the Lord through committed Bible study, prayer, and meditation.

  • Maintains proper priorities in your home including your spouse and children (if married and/or with children).

  • Faithfully supports the ministries of Pinelake by maintaining wise stewardship measures over the resources entrusted to you.

  • Performs duties and responsibilities in a manner to glorify Christ and further the mission and ministry purposes of Pinelake Church (Colossians 3:23-24).

SPECIFIC LIST OF DUTIES AND RESPONSIBILITIES

  • Plans, establishes, and oversees the implementation of all administrative functions for the Recruiting team.

  • Develops tools and resources to assist the Director of Recruiting to provide leadership and support to all prescribed areas of Pinelake Church.

  • Facilitates clear communication and collaboration across department through reporting, data assimilation, project management, and consistent updates.

  • Provides support by scheduling and preparing for events, meetings, gatherings, and travel.

  • Oversees administrative functions for the Recruiting team associated with the One Church calendar, administrative purchases, and distribution of resources.

  • Responsible for assigning timelines for administrative functions and providing deliverables based on departmental deadlines.

  • Prepares creative electronic materials, within Pinelake's branding guidelines, as needed for use by the Recruiting team, such as job postings, graphics for social media, candidate travel itineraries, and meeting agendas. Proficiency with Pages (iWork productivity suite), MS PowerPoint, Canva, and other desktop publishing tools is a strong plus.

  • Orders materials, curriculum and resources as requested.

  • Prepares purchase orders and submits check requests. Track and balance monthly expenses and reports activity to the Director of Recruiting.

  • Manages time efficiently while meeting deadlines.

  • Performs other duties as assigned.

EDUCATION AND/OR EXPERIENCE:

College degree preferred. Also, three to five years of administrative experience minimum for competitive candidates. Applicable experience may substitute for portions of the educational framework.
