Job Description

The Office of the Vice President for Research (OVPR) is recruiting for a highly skilled, dynamic individual to join their team as an Operations Manager. The Operations Manager performs varied, complex administrative work in support of the Office of the Vice President for Research. Incumbent is expected to work independently and to carry out duties requiring planning, coordination, judgment and initiative. Incumbent will have contact with faculty, Deans and high-level University administrative offices, requiring use of business vocabulary, tact, discretion and judgment.

Awards Program Management - 50%

  • Coordination of all OVPR intramural award programs:
    • Website updates
    • Team pages management
    • Meeting coordination
    • Notifications to applicants/awardees
    • Assist with annual reporting requirements
    • Communication and coordination with internal committees (these members include VP, Dean, Associate Dean, Associate VPs, chairs, other faculty, and staff)
  • There are currently 9 different award programs annually, multiple have rolling due dates or multiple calls per year.

Operational - 30%

  • General Office Management:
    • Copier, supplies, room scheduling, facility requests, drive management, listserves, Lenel system, oversee OVPR general emails inbox
  • Communications:
    • Newsletter coordination and website updates
    • Coordinate messaging through relevant listservs

Executive Assisting - 10%

  • Provide scheduling assistance for VPR and AVPs as needed.
  • Manage signature requests for executive team.

Event Planning and Travel Coordination - 5%

  • Monthly Office of Sponsored Projects (OSP) meeting coordination.
  • Biannual OVPR advisory meeting coordination.
  • Research Division interviewee coordination.
  • Annual division events.
  • Travel reservations as needed.

Other - 5%

  • Student supervision.
  • Special projects.
  • Other duties as assigned.

Minimum Qualifications

  • Bachelor\'s degree in related field, and
  • 1-2 years management experience, and
  • 2-4 years relevant experience; or
  • Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.

  • Knowledge of organizational practices.
  • Knowledge of applicable legislation, standards, policies, and procedures within specialty area.

  • Microsoft Office Suite (Word, Excel, PowerPoint).

Background Information

Northern Arizona University requires satisfactory results for the following: a criminal background investigation, an employment history verification and a degree verification (in some cases) prior to employment.
