The Executive Assistant will provide executive level administrative support to the Executive Director of Business Development. The incumbent will coordinate activities of the Development division, as well as assist in special events and other projects as assigned by the Executive Director of Business Development and/or the Commissioner and Deputy Commissioner.
The incumbent for this position will provide back-up administrative support to the Commissioner’s office. The incumbent will maintain effective recordkeeping and filing systems for the Executive Director of Business Development as needed.
The incumbent will work with managers, supervisors, technical staff, and committees. This person will also interact with state/federal agencies, local units of government, business and community leaders. The incumbent must act as the intermediary between the Director and people requesting his/her attention.

Qualifications:

Minimum Qualifications:
Experience as an executive administrative assistant or office manager interacting with chief executive officers and senior managers.
Excellent interpersonal skills to maintain effective working relationships with an organization and multiple programs, executives, legislators, the public, and executive level officers.
Strong written and oral communication skills sufficient to compose, edit, and prepare professional materials (e.g., memos, emails, presentations) with meticulous attention to detail and accuracy with minimal direction.
Strong organizational and planning skills in order to manage projects, identify priorities, and meet timelines with little supervision.
Database management skills sufficient to develop and maintain databases and calendars for staff, including analyze data, confidential file management, and financial reporting.
Knowledge of computer software applications, such as Microsoft Office Suite, SharePoint, video conferencing, MS Teams, Zoom and WebEx.
Experience working with a diverse clientele including the commitment to equity and inclusion in the work environment.
Valid MN Driver's License.
Preferred Qualifications:
Two (2) years of extensive experience providing high-level administrative support for executives or managers.
Experience working with the State of Minnesota.
Experience working in a confidential setting and handling confidential and/or sensitive correspondence.
Knowledge of State government and policies, particularly as it pertains to administration and executive-level coordination and processes.
Possess a thorough knowledge of IRRR and be able to accurately interpret and communicate the policies and statutes governing the agency.

Ability to transport oneself to external meetings or obligations.
