Universal Engineering Sciences Executive Assistant to Regional President in El Paso, Texas

The Executive Assistant will be responsible for providing top-notch administrative support to the President of the Western Region.

In this role, the EA will maintain a professional & collaborative relationship with the Region’s President and his staff.

While exercising outstanding judgement and critical thinking skills, this individual will demonstrate the ability to work well under pressure and function independently - considering all aspects of situations requiring confident decision-making and responsiveness to various priorities. Additionally, displaying discretion and tact when dealing with sensitive and confidential matters is an essential part of this position.

Job Responsibilities:

  • Maintain executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.

  • Create/edit Excel spreadsheets and PowerPoint presentations as assigned by President/CEO

  • Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

  • Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients.

  • Process expense reports

  • Conserve executive's time by reading, researching, routing correspondence, drafting letters and documents, and collecting and analyzing information.

  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.

  • Record and maintain meeting minutes and action items.

  • Draft and proof reports, memos, letters, and other documents. Maintain confidential company and personal information and data.

  • Uphold a strict level of confidentiality.

  • Greet and welcome executives' visitors and determine the best solution for their needs and requests.

  • Perform general office duties and administrative tasks.

  • Perform any other Executive Assistant job-related tasks as assigned.

  • Effective interpersonal skills.

  • Adept communication and collaboration skills.

  • Willingness to perform responsibilities outside normal business hours.

  • Accomplished analytical and critical thinking skills.

  • Exceptional organizational and time management skills.

  • Excellent computer skills, including high proficiency in the Microsoft Suite of applications.

Preferred Qualifications:

  • Previous experience in an Executive Assistant role preferred but not required.

  • Associate or Bachelor degree in business, communication, or relevant coursework preferred.
