Job Title: Accounts Payable SpecialistJob Description

The Accounts Payable Specialist will be responsible for a range of general accounting tasks, primarily focusing on processing accounts payable, expense reporting, and sales/use tax submissions.

Responsibilities

  • Processing vendor invoices: Receive invoices, match to packing slips and purchase orders, and route invoices with missing documentation for approval.

  • Entering invoices into the system.

  • Paying vendor invoices: Run PI reports to determine payable invoices, review and verify report accuracy, submit reports for management approval, match invoices to check stubs, and process vendor payments including printing checks, obtaining signatures, and preparing for delivery.

  • Processing check requests and expense reports: Review check requests for documentation and approval, verify coding information, enter check information into the system, print checks, and prepare for delivery.

  • Reconciling statements: Review for missing invoices, contact vendors for copies, and investigate and resolve discrepancies.

  • Responding to vendor inquiries regarding payment status.

  • Assisting with special projects such as data collection for audits and purchase order open item/balance inquiries.

  • Assisting in month-end closing by compiling lists of invoices not entered and submitting them for processing.

  • Performing general administrative duties including filing and scanning invoices.

Essential Skills

  • 2+ years of experience in high-volume accounts payables.

  • 2+ years of experience in ERP systems (Oracle, Sage, SAP, etc.).

  • Experience in manual AP processes, including entering invoice data.

  • Proficiency in SAP, Way match, Oracle, and Excel pivot tables.

Additional Skills & Qualifications

  • BSc/BA in accounting or equivalent experience.

  • Minimum 1 year of A/P experience required.

  • Good knowledge of ERP systems (Viewpoint Vista, Oracle, SAP, etc.).

  • Proficiency in 10-key by touch.

  • Openness to change and willingness to learn new skills.

  • Excellent verbal and written communication skills.

  • Excellent customer service skills.

  • Excellent organizational and time-management skills.

  • Ability to multi-task in a fast-paced work environment.

Work Environment

Work schedule is Monday to Friday, during normal business hours. The position is on-site for the first 6 months, with potential hybrid flexibility based on performance. The team operates on a rotational schedule where each Accounts Payable Specialist works one week in-office and the next three weeks remotely. Pay and Benefits

The pay range for this position is $28.84 - $31.25/hr.
