Position Summary

We seek a Finance and Contracts Coordinator to serve as an integral member of our Operations team. This individual will work at multiple levels - submitting paperwork and tracking details and working across teams to identify and implement process improvements. Each of these tasks will require excellent communication skills, impeccable attention to detail, follow-through, adaptability, and confidentiality. This position will report to the Assistant Director of Business and Operations. This position has the option for to be fully remote/off-site, in accordance with DU's remote work policies. This is a three-quarter (30 hour/week), benefited, hourly position, with the potential to increase to full-time if funding becomes availa

Essential Functions

Financial Management (30% of time)

  • Process expenses including invoices and reimbursements through systems such as Concur and Banner.
  • Provide training and support for users on correct processes for expense submissions.
  • Review and reconcile monthly budget reports to ensure accuracy of transactions, and share reports with budget managers as appropriate.
  • Submit journal entries as needed to create or correct budgets and transactions.
  • Advise on budget utilization to inform budget officers' quarterly forecasts and annual planning.
  • Document and improve financial management processes, including creating checklists, reports, and descriptions for both internal and external audiences.
  • Cultivate strong relationships across the University to ensure that GSPP is following and sharing best practices, particularly with University Financial Services, the Controller's Office, and peers in other departments. Contracts (30%)

  • Manage all aspects of the development and review of GSPP's legal and procurement contracts, including reviewing, submitting, tracking, and retaining contracts and renewals.

  • Create, update, and share do umentation for multiple audiences on contract and attestation processes to promote transparency and efficiency.
  • Collaborate with staff and faculty across GSPP and DU to understand and develop standard business terms for practicum contracts.
  • Conduct initial reviews of contracts and negotiations with practicum agencies.
  • Lead the effort to ensure that all community agencies for GSPP practicum placements maintain active contracts.
  • Manage attestation processes for students in practicum placements, where required by legal contracts.
  • Cross-train with other operations personnel to be able to provide contract support for fee-for-service contracts.
  • Collaborate with GSPP, DU, and community stakeholders to understand and improve contract processes, including template contracts. Financial Aid (10% of time)

  • Apply financial aid awards for GSPP students and run reports to ensure accuracy.

  • Provide data on scholarship utilization to budget officers to inform quarterly forecasts and annual planning.
  • Document and improve financial aid awarding, including creating checklists, reports, and descriptions for both internal and external audiences.
  • Improve and manage scholarship application processes, including tracking and analyzing admissions data.
  • Provide first-line guidance on financial aid to GSPP students, faculty, and staff, escalating as appropriate.
