Job Summary:

A Sign Project Coordinator is part of the support team for the Project Management Department. A Sign Project Coordinator works closely with Project Managers, Install Managers, and Compliance Coordinators to help with getting a customer’s product purchased, ordered, designed, fabricated, shipped, and installed.

The coordinator’s main duty is to be an available resource for others in the Project Management Department to expedite the work. This includes learning the specific requirements for each customer we have, and assisting the teams assigned to those customers with general office tasks such as copying & scanning documents, putting together packets for meetings, data entry, and other duties as needed. This position requires flexibility to address each customer’s unique needs. The Sign Project Coordinator is a team-oriented position, and the ideal candidate will possess the ability to work in a team setting.

Duties and Expectations:

• Support Project Managers in any tasks that they need completed

• Organize and conduct daily checks of project continuation

• Coordination of trades (i.e. sign subcontractors, customer interactions)

• Schedule, attend and take notes during Project Management meetings

  • Internal team meetings with staff

  • External discussion with customers

  • Project Management department meetings

• Ensure customer standards (internal and external) are properly being met

• Responsible for project documentation and filing

• Any other work assigned by the Director of Project Management

Metric / Performance Tracking Expectations:

Once fully trained, a Project Coordinator is expected to execute tasks within time parameters dictated by the management team. This allows for the employee to be an integrated team member and contribute to the flow and success of all tasks and projects. Project Coordinators are expected to track tasks assigned to them and workload completed each week within the company database. Weekly reports of tasks (milestones completed by the employee) are expected to be pushed to the management team for visibility of workload.

Tasks tracked in company database (not limited to the following):

  • Account specific tasks – relating to specific terminology, reporting, customer expectations

  • PC Special projects – audits, reporting

  • New Job Setup

  • Design and Permitting Department requests

  • Landlord approvals

  • Engineering requests

  • Estimate and Production requests

  • Subcontractor management requests

  • Install management requests

  • Billing

    Education, Experience or Specific Skills:

• 1-2 years’ experience in the sign industry or related, preferred

• 1-2 years’ experience in a fast-paced high volume work environment

• Undergraduate degree preferred

• Excellent communications skills, both written and verbal, proper email etiquette

• Strong negotiation skills

• Ability to multi-task

• Ability to accept responsibility

• Problem solving and critical thinking skills (i.e. understanding of project management process and how a project coordinator integrates into the flow)

• Solid working knowledge of computer programs and software

• Advanced Excel and Word skills

Work Schedule:

Employees are expected to work a set of core hours, Monday through Friday, each week. These hours are set by the employee and the Director to ensure there is proper coverage of tasks and customers with no interruptions. Back-up plans are set up with the coordinator team to ensure no disruption to day-to-day customer interactions.
