ARS is seeking a detail-oriented Administrative Specialist to provide comprehensive administrative support for a government innovation program. This role will be instrumental in ensuring smooth operations across multiple teams and divisions. The ideal candidate will have exceptional organizational skills, strong communication abilities, and experience with administrative support in a dynamic, fast-paced environment. Responsibilities include:
Support division and team operations through coordinating communications with internal and external organizations
Develop, process, and maintain various reports, written communications, and packages requiring coordination and review
Maintain and modify calendars and schedules for program leadership and key meetings
Coordinate and facilitate organizational meetings, including room reservations and logistical support
Track, monitor, and ensure completion of assigned tasks and suspense items
Support proper records management and information organization
Assist with travel arrangements and expense reporting for team members
Coordinate document workflows, ensuring proper routing, signatures, and filing
Support digital enablement initiatives, including survey administration and data collection
Provide administrative support for virtual and in-person meetings and events
Create and maintain systematic filing systems for easy retrieval of information
Draft routine correspondence and communications on behalf of leadership
Other duties as assigned
Qualifications/ Technical Experience Requirements:
Must be a US citizen
Associate's degree in Business Administration, Office Management, or related field (or equivalent experience)
3+ years of experience in administrative support roles
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Experience with digital collaboration tools and workflow management systems
Strong written and verbal communication skills
Demonstrated organizational abilities and attention to detail
Experience supporting calendar management and scheduling for teams
Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment
Basic understanding of records management principles
Ability to obtain and maintain required security clearance
Desired Qualifications:
Bachelor's degree in Business Administration or related field
Experience supporting government or defense programs
Knowledge of government administrative processes and procedures
Proficiency with Google Workspace applications
Experience with Smartsheets, Asana, Monday.com, or similar project management tools
Background in event coordination or meeting planning
Experience creating visual products such as infographics or presentation materials
Knowledge of travel management systems and processes
Experience with electronic records management systems
