Robert Half Accounts Payable Clerk in Davenport, Iowa
Description
We are looking to bring on board an Accounts Payable Clerk in the Property Management industry at our location in Davenport, Iowa. This role will involve handling various tasks related to accounts payable and other financial duties.
Responsibilities:
• Code, separate and process various statements and invoices, ensuring accuracy and timeliness.
• Address and resolve any billing discrepancies that may arise.
• Carry out accurate and efficient data entry of invoices and statements into Yardi.
• Conduct regular scans of invoices and statements for record-keeping purposes.
• Match invoices with packing slips and file them appropriately.
• Manage the processing of W-9s and the generation of 1099 reports every January.
• Ensure that property insurance bills are approved and entered into Yardi.
• Execute the processing of security deposit returns.
• Research and process utility and other rebates.
• Handle the mailing of checks with statement slips and undertake year-end filing of bills.
• Coordinate with the Regional Property Manager and Regional Maintenance Supervisor for the issuance and receipt of signed lien waivers before dispatching checks to vendors.
• Manage the ordering of supplies as approved and distribute as needed, periodically reviewing pricing and searching for the best options.
• Ensure all signed contracts are uploaded to the Vendor profile in Yardi.
• Coordinate purchases for maintenance and operational needs.
• Track rebates and deposit checks when received.
• Coordinate employee onboarding including background checks, credit checks, drug tests, safety training, and benefits enrollment.
• Maintain employee files and update driver records with the insurance company as employees join or leave.
• Maintain licensing and certification tracking for employees.
• Schedule certification training and coordinate with supervisors.
• Track OSHA incidents, workers’ compensation cases, and ensure timely reporting.
• Update and maintain vehicle registrations, license plates, drivers, and insurance records.
• Handle phone calls, direct calls or visitors to appropriate locations.
• Write and process work orders or take messages and forward information where needed.
• Handle mail and interoffice deposit runs with confidentiality.
• Organize and file invoices, packing slips, and other documents.
• Assist with meeting preparations, including supervisor meetings and seasonal protocols.
• Track and log tools and equipment over $25, including engraving and annual inventory checks.
• Maintain records for air conditioners and appliances, ensuring logs are updated.
• Schedule bulk shredding services and manage record retention compliance.
• Research and review utility and service contracts for cost efficiency.
Requirements
• Demonstrable experience with Accounts Payable (AP) is necessary
• Ability to handle Check Runs effectively
• Skilled in Coding Invoices
• Proficient in Data Entry tasks
• Experience with Invoice Processing is a must
• Working knowledge of Microsoft Excel is required
• Familiarity with Accounts Receivable (AR) is beneficial
• Knowledge of Yardi Software is a plus
• Familiarity with IRS W-9 Forms is a plus
• Experience with Form 1099 is a plus
