Location : Dallas, TX
Team Overview : The Strategic Initiatives Team oversees ADF's regulatory practice, government relations, and Blackstone Fellowship Teams. We challenge federal government regulatory actions, develop model legislation and educate government stakeholders to advance our Generational Wins, and train Christian law students to launch them into highly successful legal careers. This position would support the SVP, who serves on our firm-wide Executive Leadership Team, and the VP to advance these organizational initiatives. This position requires a strong commitment to Strategic Initiatives activities, organization, efficiency, continuous professional improvement, and an overall standard of excellence.
Key Responsibilities : In this position, you will perform the following tasks for the SVP of Strategic Initiatives and Special Counsel to the President and the VP of Academic Affairs & Strategic Affairs.
Administrative Tasks
Support the preparation of seasonal board, budget, and event-related reports
Maintain organized electronic files for reports, speeches, presentation materials, sponsorships, academic colloquiums and symposiums, and other Strategic Initiatives documents; research, analysis, and electronic database maintenance
Monitor, maintain, and manage complex calendars and schedules
Budgeting
Prepare, process, and submit monthly budget reports, expense reports, and reimbursement requests
Submit sponsorship payments for internal processing and track and communicate with any event-related attendees and the sponsored organizations
Travel and Event Support
Plan, book, and coordinate all aspects of domestic and foreign travel, including flights, accommodations, ground transportation, visas, and ETAs
Schedule and organize virtual and in-person meetings
Support all aspects of organizing and managing academic colloquiums and symposiums, including coordinating with the Events Team
Travel to Strategic Initiatives events to assist with logistics, troubleshooting, and presentation preparation
Communication
Monitor, maintain, and manage high-volume communications, including e-mail, Outlook contacts, phone calls, and voice messages
Support the preparation of speeches and presentations, including editing documents and revising PowerPoints
Minimum Qualifications :
Bachelor’s degree or equivalent experience
5+ years of experience as an Executive Assistant reporting directly to senior management within a fast-paced and dynamic organization
Travel as needed
Demonstrated proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint
Be a self-directed, creative problem solver able to deliver results with minimal supervision
Handle sensitive and confidential communications and information with the utmost discretion
Be a proactive planner with excellent attention to detail and strong project management skills
Preferred Qualifications :
Experience using SharePoint, Concur, Teams, and/or Airtable
