FirstService Residential Community Management Systems Administrator in Dallas, Texas

Job Overview:

This position works closely with the community management team to facilitate processing community architectural requests,administers, updates, and audits of various community management systems for compliance. The position will also play a key role in special projects and will be the face of the organization at our front desk reception area.

Your Responsibilities:

  • Provides exceptional customer service at all times by responding to incoming visitors, telephone calls, emails, and other correspondence promptly and courteously. Acts as an intermediary with owners/residents, vendors, and staff to assist in prompt responses to questions or problems. Follows company policy by returning all calls and emails within 24 business hours.
  • Excellent communication skills, both verbally and in written communication.
  • Process all incoming architectural plan submittals utilizing the SmartWebs system. Be a SmartWebs SME.
  • Notify Smartwebs/RevoPay of any activations/deactivations of properties and ask for any transfer of data.
  • Ensure setup is correct (letter, project types, CC&Rs, expiration date) and work escalating any issues to any of these two.
  • Serve as the contact for General Submission inquiries for ACC
  • Utilizes electronic filing systems and Connect to maintain accurate resident records. Responsible for information and document management. Ensures that all records are kept in good order. Reviews for compliance.
  • Administration of meeting minutes uploaded in Welcome Link.
  • Provide support to other team members and committee members
  • Other projects as needed and assigned. Provides research and reporting for different special projects.
  • Candidate must present a professional appearance for work.

Skills & Qualifications:

  • Education/Training: Some college preferred but not required. High school diploma or equivalency required. 1 to 2 to years’ experience in an office environment performing similar tasks preferred. Experience in Property Management industry a plus.
  • Experience/Knowledge/Abilities:Proficient in Microsoft Office (including Word, Excel, and PowerPoint). Excellent communication skills. Strong working knowledge of customer service principles and practices, ability to perform with minimum supervision and make decisions independently. Ability to multi-task, effectively prioritize workload, meet hard and fast deadline. Must be a team player.Must possess strong analytical skills. Detail-oriented with multiple tasks, and information organization.
  • Special Requirements:Physical demands include ability to lift up to 10 lbs. Standing, sitting, walking. The employee is required to work at a personal computer for extended periods of time.

Compensation: $22 / hour
