Overview:This position is an extension to the Practice Administrator or Clinic Manager. The Office Supervisor is available on site daily to supervise and support physicians and staff. The Office Supervisor will provide leadership and facilitate the daily operations. Ensure staffing coverage and patient satisfaction. This supervisor will work at the Baylor/Dallas and Methodist/Colorado Blvd locations.

Responsibilities:

  • Prepares weekly staff schedule to ensure clinic coverage, receives call outs from staff and assigns coverage accordingly. Review and approve staff timecards.

  • Safety Officer, maintain OSHA and CLIA logs

  • Manage Monthly Cubixx medication reconciliation. Correct any dispense errors. Manage inventory for medications.

  • Generate reports to monitor Missing Charges, Missing Chart Documentation, Unsigned documents in the physician’s PAQ, MIPS, Lab Leakage, Lab errors, Missing Urodynamics Interpretations, Rezum log

  • Help daily overflow with check in/out, scan, schedule diagnostics, answer tasks, schedule new patient referrals. Cover back-office duties as needed. Oversee and train new front desk and clinical staff.

  • Manage inventory for front desk and back-office supplies and printed products.

  • Cover Administrator when out of the office and communicate all staffing and patient issues. OSHA, CLIA, HIPAA documentation management.

  • Assist call center with patient calls and hospital calls that cannot wait.

  • Assist the Administrator with the hospital on call schedules and on call payments

  • Assist Admin with implementing new and changes to policy and procedures. Travel to other locations as assigned by Administrator.

  • First line of contact for all patient complaints.

  • Must be willing to travel between multiple clinics.

  • Other duties, as assigned

Qualifications

Experience:- Minimum of 3 years of medical office experience- High school diploma or equivalent- NRCMA or similar Medical Assistant Certification
