University of Miami Administrative Manager to the Deputy Chief of Staff (On-Site) in Coral Gables, Florida

The Administrative Manager to the Deputy Chief of Staff provides high-level project management, communications, and administrative support. This role manages multiple initiatives and coordinates with key stakeholders upholding strict confidentiality.

CORE JOB FUNCTIONS

  1. Creates, compiles, and edits comprehensive briefing materials for the senior leader engagements.

  2. Ensures briefing materials adhere to formatting guidelines and are delivered promptly to allow adequate preparation.

  3. Communicates with relevant stakeholders to gather information needed to develop briefing materials or any other documentation.

  4. Develops and maintains daily and weekly engagement schedules, coordinating closely with the Deputy Chief of Staff.

  5. Supports and coordinates meeting logistics, including agenda preparation and material distribution.

  6. Gathers, analyzes and synthesizes information from faculty, administrators, and external partners to inform decision-making.

  7. Prepares reports, project plans, and strategic documents.

  8. Manages the intake, review, and processing of documents requiring official signatures, ensuring accuracy, completeness, and proper documentation.

  9. Serves as the primary liaison with the Faculty Senate regarding monthly legislation signatures.

  10. Drafts and directs internal and external correspondence as part of communication processes.

  11. Maintains accurate records of relevant activities, meetings, and engagements for reporting and historical reference.

  12. Organizes and archives briefing materials, correspondence, and key institutional documents, ensuring accessibility.

  13. Supports key projects and initiatives as assigned by the Deputy Chief of Staff, ensuring timely execution.

  14. Assists in managing high-priority tasks, tracking progress, and meeting deadlines.

  15. Provides administrative support for office operations, addressing organizational needs as required.

  16. Supports and helps drive strategic projects on behalf of the Deputy Chief of Staff.

  17. Upholds the confidentiality of university administration by exercising discretion in all communications and document handling.

  18. Adheres to University and unit-level policies and procedures and safeguards University assets.
