POSITION OBJECTIVE

The Coordinator serves as the front-line contact for visitors to the Center for Civic Engagement and Learning (CCEL), has the overall responsibility for the smooth functioning of the Center for Civic Engagement and Learning office, and connects students to civic engagement opportunities and resources. This position promotes and coordinates community service opportunities by assisting drop-in students, managing community service fairs, coordinating on-campus blood drives, creating the weekly departmental e-newsletter, and assisting with non-partisan political engagement activities, including voter registration. This position also oversees the scheduling, use, and maintenance of the Center for Civic Engagement and Learning van fleet and maintains the department's financial transactions. The coordinator supervises Center for Civic Engagement and Learning's student office assistants.

 

ESSENTIAL FUNCTIONS

Welcome and assist all drop-in visitors with their inquiries and requests in a helpful, friendly, and informed way; provide information about Center for Civic Engagement and Learning programs and community service opportunities. Maintain an organized and welcoming environment in Center for Civic Engagement and Learning that promotes civic engagement and student connection to Cleveland. Maintain a smooth functioning office: work with vendors to maintain office equipment; complete room reservations, catering orders, and administrative tasks as necessary to support Center for Civic Engagement and Learning programs. Organize Center for Civic Engagement and Learning open house events that inform students of opportunities and/or recognize student volunteers. (22%)

Oversee the Center for Civic Engagement and Learning van fleet, a key resource in implementing civic engagement programming. Manage multiple van reservations, daily van scheduling, van key pick-up/drop-off, ensuring the vans have sufficient fuel at all times, responding to inquiries, scheduling routine maintenance, overseeing the required Center for Civic Engagement and Learning training, required of all van drivers after they have completed the University Van Safety Training, and billing student organizations and departments as appropriate. Create and maintain Center for Civic Engagement and Learning communication initiatives to connect students with opportunities to get involved in community service. Maintain the department's CampusGroups pages, including creating and editing a weekly electronic newsletter. Maintain electronic mailing list of recipients; communicate with community partner organizations regarding service opportunities; update department website and manage social media platforms. (12%)

Supervise the student office assistants, a team of 4 to 6 students who work in the Center for Civic Engagement and Learning office. Recruit, select, and train students to promote their ongoing development. Organize student projects, in consultation with Center for Civic Engagement and Learning staff, and provide day-to-day oversight of students. (12%)

Maintain Center for Civic Engagement and Learning's financial transactions, which include reconciling monthly expense statement and credit card statements, purchasing general supplies and equipment, making deposits, expense journals, disbursements and reimbursements through the PeopleSoft financial system and working with the director on budget forecasts. (10%)

Plan and coordinate community service fairs, including outreach to more than 50 community organizations, planning and handling all event logistics, recruitment of student volunteers to assist with the event, creation of event materials, and promotion. Manage day-of event, including community partner coordination and attendance of more than 225 students. (10%)
