Emergo by UL’s HFR&D team is an industry leader in providing user research, user interface design, usability testing and other human factors consulting services to its clients. Many of the world’s leading medical device and pharmaceutical manufacturers rely upon our services to produce safe and satisfying products and get them launched. Our work involves the research, design, and evaluation of the user interfaces of medical devices, pharmaceutical devices, diagnostics and laboratory instruments. Our research and design portfolio include products and systems such as robotic surgery systems, imaging devices, autoinjectors, inhalers, ventilators, mobile medical apps, laboratory instruments and in vitro diagnostic devices. Our portfolio of work also includes non-medical products such as consumer products, automotive diagnostic tools, and software applications.

We are looking for a detail-oriented, well-organized team player to join our team. This individual’s primary responsibilities will include helping technical team members – primarily researchers – by performing various activities needed to ensure our projects run smoothly and efficiently. The ideal candidate is someone who can multi-task effectively and communicate clearly, concisely, and responsively with team members, customers, and third-party vendors.

We are looking for a Project Coordinator to perform the following tasks:

  • Help ensure projects are set up properly in project management software application, including adjusting project details as needed to reflect proposal and any scope adjustments (e.g., budget, estimated completion dates, staff assignments)

  • Support various project logistics, including but not limited to:

  • Draft project schedules based on project team input and subject to their review

  • Helping the project manager ensure the project is proceeding on schedule and budget

  • Help track, organize, and maintain project files per procedures

  • Identify and reserve facilities in which to conduct research

  • Purchase supplies as needed to conduct a study

  • Ensure project teams have the necessary A/V equipment to conduct a study

  • Support Investigational Review Board (IRB) submissions and communication

  • Prepare and circulate document approval forms

  • Help set up and monitor recruiting efforts, including preparing recruiting documents and confirming eligibility of scheduled participants

  • Help manage customer product samples, including managing incoming and outgoing product shipments, logging and tracking samples, and ensuring sample storage in accordance with company policy and customer requirements

  • Collect and submit paperwork associated with third-party vendors, including setting up purchase orders and processing vendor invoices

  • Support communication with third-party vendors supporting projects

  • Help ensure the project is conducted in accordance with the team’s Quality Management System, including applicable Standard Operating Procedures and Work Instructions

  • (If local to project teams) Help set up the research lab for studies, including configuring equipment and furniture, product samples, and setting up audio/visual equipment

  • (If local to project teams) Greet and check-in research participants, ensuring paperwork is completed and performing any COVID screening and cleaning procedures

  • (If local to project teams) Help host visiting clients, including addressing any on-site requests (e.g., printed documents, shipping supplies, ordering lunch)

  • Associates Degree or equivalent

  • Extremely well-organized, responsive, and detail-oriented

  • Ability to multi-task and manage multiple projects and tasks in a fast-paced environment

  • Able to work effectively and efficiently with many different people, including individuals with different working styles and experiences

  • Eagerness to meet internal and external customers’ needs (i.e., service-minded)

  • Strong written and verbal communication; ability to communicate effectively with colleagues, third-party partners (i.e., vendors) and consultants in formal and informal settings

  • Expert in use of Microsoft Outlook, Word, and Excel

  • Ability to quickly learn and become comfortable with new software programs, including those used for time and expense tracking and project management

  • Professional level, fluent English (reading, writing, speaking)
