Job Title: Billing & Project Accounting Specialist

Job Description

The Billing & Project Accounting Specialist is tasked with reviewing project contract documentation to ensure the accuracy of project setup in accordance with client requirements, Project Management & Quality Guidelines, and the Revenue Decision Making Matrix. The role includes accurate input of new and existing project information into the BST Project Accounting Software, preparation of invoices using various software packages, interfacing with technical, administrative, and professional personnel, and analyzing information pertinent to client invoicing. The specialist compiles invoice packets to meet client requirements, which may include timesheet and expense documentation, DBE reporting, client-required forms, and Project Manager progress reports.

Responsibilities

  • Read, comprehend, and understand client contracts for compliance with corporate requirements and accurate project setup.

  • Review project setup documents for accuracy, ensuring data reflects contract terms and authorizations, and complies with Project Management & Quality Guidelines and Revenue Decision Making Matrix for budget entry.

  • Input new and revised project data, including budgets, phase/task/org authorizations, client updates, and billing particulars into the BST Accounting System.

  • Process subconsultant invoices through BST Accounting System and release payments.

  • Produce monthly Pre-bills & Final invoice packets for clients at an intermediate level.

  • Post Final Invoices to Accounts Receivable and adjust Accounts Receivable or reinstate invoices as needed.

  • Archive invoices and client contract documentation.

  • Analyze and research Work-in-Process and Project Analysis at an intermediate level.

  • Understand and perform Project Closeout Analysis at an intermediate level.

  • Provide internal and external audit liaison assistance at an intermediate level.

Skills & Qualifications

  • Associate or Bachelor's Degree in accounting, finance, or a business-related field.

  • 3+ years of project billing experience.

  • 3+ years of experience creating invoices, understanding both A/P and A/R perspectives.

  • 3+ years of change orders experience.

  • Experience in a company with revenue over $300 million.

  • Proficient in project accounting, invoicing, project analysis, Work-in-Process, project closeout, and handling subconsultant invoices.

Pay and Benefits

The pay range for this position is $27.00 - $42.00/hr.
