The selected colleague will work at an MUFG office or client sites four days per week and work remotely one day. A member of our recruitment team will provide more details.
Job Summary:
This position is primarily responsible for performing clerical tasks to support general affair related activities in Business Management Department (Planning). The duties include Corporate & General Service functions including office operations, property management, procurement, travel and etc. This position is also responsible for Administrative Support function, Accounts Payable functions and Project Management Support function for Japanese Corporate Banking Division for the Americas.
Major Responsibilities:
General Affairs functions:
Corporate & General Services/Office Operations:
Perform overall corporate & general services/office operations, including vendor and service provider management
Orders office supplies, manages office reception area, break rooms and mail room
General office services projects, as requested
Ensure compliance with all internal and external practices, and streamlining or enhancing operations where applicable
Property Management:
Coordinates overall property management functions for the business unit.
Serve as a liaison for security requirements, building access, maintenance requests, and company fleet, including procurement of vehicles and scheduling the maintenance and repair of the vehicles
Records Management:
Manage the records (off site) for the business unit, including conducting an annual inventory of records
Fixed Assets Management:
Manage the fixed assets for the business unit
Conduct internal inspections and prepare various reports
Administrative Support functions:
Perform administrative duties for JCB management and the team members such as Relationship Managers as follows:
Organizes files and offices, arranges travel and hotel reservations
Completes all accounting forms for reimbursements
Handles the scheduling of appointments and coordinates meetings and interviews
Maintains membership of golf club and social club and process the related payments
Set-up business and professional lunches, dinners, entertainments and corporate events including customer seminar
Order business cards, office supplies, flowers, gifts to customers
Make arrangements for incoming visitors, greets guests
Coordinate catering refreshments for guests
Process “Gift and Entertainment” related tasks
Prepare or edit various reports and articles
Perform tasks for onboarding process of a new employee
Help JCB management maintain relationships with local communities by performing a liaison role and related tasks
Perform other administrative tasks associated with Business Management Department assigned by manager or manager’s manager
Accounts Payable functions:
Performs tasks for Account Payable
Provide payment instructions to prevent errors
Verify processed invoices
Perform other accounting functions relating to Accounts Payable
Project Management Support functions:
Perform administrative tasks required for project management as follows:
Organize various data and prepare materials or lists required for project for the purpose of planning, tracking, monitoring, and reporting
Keep relevant teams informed about projects in a timely manner
Support Project Leaders in coordination with relevant teams in projects
Qualifications :
An Associate degree or equivalent work experience is required. A Bachelor's degree preferred
Bilingual in Japanese and English
A team player with strong interpersonal communication skills both in English and Japanese
Strong organizations skills and ability to manage multiple tasks
Advanced skills in MS Office Suite (Excel, Word, Outlook, PowerPoint and others)
The typical base pay range for this role is between $59K - $76K depending on job-related knowledge, skills, experience and location. This role may also be eligible for certain discretionary performance-based bonus and/or incentive compensation.
