Salary: $19.01 hourly

Work Hours: Monday - Friday, 8:00 A.M. - 4:30 P.M. (EST) Hours may vary due to work assignments, or projects.

CLASSIFICATION SUMMARY: The ERSEA Specialist reconciles, enters and processes data for the Head Start/EHS computerized management information system at the Head Start Administrative Office and at Head Start Centers. Also provides clerical assistance for the administrative staff when needed. The position is located at the Head Start/EHS Administrative Office for 260 days per year.

ESSENTIAL FUNCTIONS: (The following duties ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification, only a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.)

Enters and processes Head Start, Early Head Start, and other data concerning activities or services provided to families and children in the tracking software and customized databases. Also enters and processes data concerning staff training.

Reviews data for accuracy and works with program personnel to correct any errors.

Enters and processes enrollment information for all children applying for enrollment in Head Start or Early Head Start in the tracking software. Updates enrollment status of children as changes occur and notifies appropriate staff. Prints and distributes data screens as needed.

Keeps staff informed by printing and distributing management information reports according to distribution procedure. Prints and distributes data information screens as changes are made and children are enrolled.

Assists the transition process by combining children's medical records with their transition forms and developmental check sheets and mails to parents. Arranges copies of transition forms and developmental check sheets by designated school and mails to the local school systems. Maintains comprehensive filing system for previous year's child records.

Provides clerical assistance to the administrative staff as needed. Duties include typing and proofreading program documents, filing, duplicating, collating, and answering the telephone.

Demonstrates work habits which comply with agency personnel policies and procedures, completes special assignments from immediate supervisor or Head Start/EHS Director.

Maintains data entered into ChildPlus and monitors it for the overall integrity of information entered. Provides monthly enrollment reports for director, Policy Council and Board.

Maintains a current knowledge of the PIR and monitors the accuracy of the documentation entered into the ChildPlus database.

Must meet regular attendance requirements.

Must be able to maintain good interpersonal relationships with staff, co-workers, managers and citizens.

DEPARTMENT SPECIFIC DUTIES (if any):

MINIMUM QUALIFICATIONS: High School or GED equivalent with two or more years experience in a responsible clerical or data processing position, the ability to compile and process computer data using database software, knowledge and experience in Google and Microsoft Word and accurate data entry skills or any combination of equivalent experience and education. Demonstrated experience using complex data systems.

LICENSING AND CERTIFICATIONS: N/A

KNOWLEDGE AND SKILLS: Good organizational skills and independent work capabilities. Knowledge and experience in Child Plus and Google applications. Knowledge of Head Start component operations and procedures.

PHYSICAL DEMANDS: Positions in this class typically require fingering, grasp ng, talking, hearing, seeing, and repetitive motions.

WORK ENVIRONMENT: Medium Work: Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
