Including but not limited to; Responsible for the daily operations of real estate owned or leased by Landmark Property Management and or Legacy Treatment Services as assigned by the Senior Director of Facilities and Maintenance or the Director of Facilities and Maintenance. Quickly assess the effects of changing circumstances and develop strategies that will minimally influence other departments. At times, serve as a departmental communication link to outside contractors, vendors, inspectors, volunteers, donors, board members, and other Landmark and or Legacy employees. Possess working knowledge of state, local, and federal regulatory laws / changes related to real estate, including FEMA.

Schedule and facilitate inspections and requirements set forth by our local, state, and federal governing agencies; file necessary paperwork, arrange appointments, communicate, and meet with inspectors, and maintain documentation for facilities within Landmark Properties. Negotiate and coordinate services provided by vendors and or contractors. Assist with project planning and scheduling when needed, assist with coordinating with the Operations Division and or outside contractors.

Schedule preventative and or cyclical maintenance. Initiate and renew all tenant leases and corresponding subsidy applications. Collect monthly rent and or arrears; reconcile all payments with fiscal department. Respond to tenant questions and or complaints; act as liaison between tenants and Landmark / Legacy Treatment Services staff. Assist with annual budget planning and preparation. Compare competitive pricing among vendors and make appropriate purchases for the agency; adhere to fiscal processing procedures. Assist with property acquisitions; maintain records of real estate transactions.

Attend departmental and various agency meetings. Actively participate in ongoing quality improvement activities of the agency including but not limited to: serving as a member of a quality improvement team, consumer input, incident / accident and consumer grievance review, peer record review, and program evaluations. Additional duties as assigned by the Senior Director of Facilities and Maintenance and/or the Director of Facilities and Maintenance.

Education and Experience:

A minimum of 3+ years’ experience in property management and tenant relations. Experience with Real Estate Asset Management software and general knowledge of residential leases. General knowledge with either plumbing or electrical work as well as virtual meeting platforms such as Zoom or Teams. BA/BS in business preferred, but not required.

As this position is considered “Essential Personnel” you may be required at times to work weekends, holidays, and overtime. Proficient in Microsoft Suite. Ability to operate computer systems. Employee must be able to work hands-on at times. Employee must possess a valid driver’s license and as duties require driving, be able to drive an agency vehicle.

Must be able to walk, run, push, pull, bend and lift 50lbs. or more. Cognitive, verbal and manual skills necessary. Hearing and visual acuity necessary; corrective devices are acceptable. Must be able to work under required deadline schedules, while being flexible to special requests and projects. Must be able to professionally handle stressful situations.
