CAMBA Onboarding Supervisor, Human Resources in Brooklyn, New York

Position: Onboarding Supervisor

What the Onboarding Supervisor does:

  • Supervise the Pre-Employment Onboarding

  • In support and guidance of the DTM, the HROS will supervise a team of HR Onboarding Coordinators.

  • Lead activities and operations performed in pre-employment onboarding, candidate qualifications and background check processes, to ensure adherence to governing citywide and agency-wide rules and regulations, to fulfill its responsibility and role in the final stage of the recruitment and onboarding processes.

  • Ensure compliance with all required clearances per regulatory requirements – including but not limited to fingerprints, SCR, DOH, DOE, DCJS, OMH, OCA, Exclusion List Vendor, LENS DMV, TB screening, health assessment, employment & education verifications, references, etc.

  • Maintain applicable tracker/onboarding system current with real-time submission date and clearance dates for all background screenings.

  • Communicate with DTM if candidate is not meeting deadlines, non-responsive, or any candidate requests (such as start date changes).

  • Ensure that the onboarding procedures are followed appropriately (e.g., hiring manager, IT and Payroll) to ensure new employees are set-up with the necessary resources, scheduled for new hire orientation.

  • Work with DTM as necessary in relation to candidates with findings in their criminal background, fingerprints results, falsification of documentation, reference results, etc…

  • Post-Employment Onboarding

  • Ensure the onboarding team have processed all new hires and ready to be set to active in the HRIS system, and new hire e-files.

  • Review the corresponding electronic new hire files, and audit for compliance.

  • Ensure the issuance of CAMBA ID & I-9 verification is completed and compliant.

  • New Hire Orientation (NHO)

  • Work with the DTM to coordinate schedules, locations, agenda, presentations, communicating to facilitators as needed, etc.

  • Create & send welcome templates announcing list of new hires.

  • Fill-in for DTM or other facilitators as needed during NHO.

  • Support the DTM and ensure all Power Point presentations are updated as needed, and work flexible hours during NHO day.

  • Ensure appropriate departments (i.e. IT) are aware of new hires critical resource needs before reporting to their work-site.

  • Compliance

  • Support the compliance of NHO trainings, ensure they are entered in the applicable tracker or HRIS system.

  • Audit and review employee files as needed.

  • Maintain and manage compliance of I-9 & E-Verify.

  • Ensure compliance of notifications received from any clearances or regulatory agencies that impact the employee’s status.

  • Participate with review and preparation of employee files for various internal and external audits to ensure compliance.

  • Other Activities

  • Ensure timely submission of invoices related to Onboarding.

  • Supervise HROC team by providing feedback, coaching opportunities, and accountability.

  • Implement & make recommendations as necessary.

  • Performs other duties as requested.

Minimum Education/Experience Required:

  • Associates Degree or Higher.

  • Three (3) years of similar or relevant experience in a mid-sized (500+ employees) organization, including managing teams.

  • Excellent written & verbal communication, and interpersonal skills.

  • Proficiency in Outlook, Word, and Excel.

  • Strong Computer literacy in other Microsoft Office Suite products.

  • Experience with Human Resources Information Systems & Applicant Tracking System.

  • Ability to balance shifting priorities and keep track of multiple tasks and deadlines.

Other Requirements:

  • Bachelor’s degree preferred

  • Experience working in a non-for profit environment with multiple funding sources.

  • Two years of direct experience supervising a team in a mid-sized (500+ employees) organization.

Compensation: $62,500-$65,000  annually

When salary ranges are listed, the range would represent the low and high end for the applicable position & program. The salary offered would be based on various factors unique to each program and candidate. This includes but is not limited to experience, education, budget and/or program size, internal equity, skills and other factors that may be required for the position and organization. 

Status: Full-time (35 hours per week)
