Job Brief

Performs all office management work for the borough residential program. Prepares and maintains various data bases for the program. Serves as liaison for V.P. with all support departments.

Currently CP Unlimited is seeking an Executive Secretary to provide administrative support to the Brooklyn Administrator of Residential Services and the Senior VP of Residential Services.

Specific Duties Include:

  • Answers and screens all telephone calls and forwards messages and/or calls to appropriate staff. Ensures all incoming mail is forwarded to appropriate staff. Perform miscellaneous clerical duties as needed, which include but not limited to typing memos, photo copying, scanning documents, mailing material etc.

  • Prepares and maintains department records and employee files for the residential program.

  • Prepares and maintains data base for all people receiving services in the Brooklyn Community Living Service Program. Updates information as needed and disseminates to all necessary people.

  • Monitors and maintains appointment calendar and schedule meetings for the borough management and Government Liaison. Takes minutes at meetings, special team meetings/management meetings and transcribes and distributes as needed.

  • Prepares correspondence as needed for borough staff. Formats plans of corrective actions and maintains data base of survey dates and audit citations for the Borough.

  • Maintains program listing for all supervisory and clinical personnel.

  • Orders all necessary supplies for all residences and for borough office as needed. Copies, monitors, and creates purchase requisitions, work requisitions, personal funds, household funds, recreational check requests, incident reports, and any other pertinent documentation.

  • Complete change of status for annual staff trainings. Track staff certifications. Copies and distributes medical certifications, PPD’s. Staff rosters, detailed vendor reports, and any other documentation needed for the management team. Provide and distribute appropriate reference material upon request of management and for presentation during meetings.

  • Edits payroll for managers and supervisors for programs as assigned. Sorts and distributes bi-weekly payroll checks as received by the Payroll Department. Assists with completing payroll for all boroughs supervisory and clinical payroll as needed.

  • Serves as a liaison for Vice President of Community and Government and Administrators of Residential Services with al support departments including Finance, Payroll, Human Resources, Engineering, MIS, etc. Responds to all requests as needed.

  • Types and distributes schedules for annuals, Life Plan meetings, semi-annuals, team minutes, etc. and sends out invitations as needed to correspondents, DDSO, CAB, Day Programs/Day Habilitation Care Managers and any other pertinent advocates.

  • Performs all other duties as assigned.

    To Qualify:

  • Proficiency in Microsoft Office Applications.

  • Excellent communication and organizational skills.

  • Two years secretarial experience

  • High School Diploma
