Job Summary

The Engineering Management Program (EMP) welcomes applications for the Coordinator of Business Operations ! This position will act as the primary point of contact and connection for all students, faculty, vendors, and other visitors, support scheduling, logistics and coordination throughout the year for numerous events, enter course schedules into Campus Solutions by the appropriate deadlines, and submit necessary documentation for course changes and adjustments throughout the semester. This position will also manage tracking the program's technology, equipment, office supplies requests and purchases, and building maintenance repairs. Administrative tasks include being the phone, key and parking liaison, as well as provide other general administrative support for the program.

Who We Are

The Engineering Management Program offers a Master of Engineering in Engineering Management (ME) degree (in person, online and through Coursera), a minor in Engineering Management, a minor in Engineering Entrepreneurship, and various graduate certificates. Its purpose is to prepare engineers, applied scientists and technical professionals for career advancement in leadership and management. From undergraduate to graduate-level work, its focus is to help students at all levels achieve their career objectives and succeed in technical and engineering fields.

What Your Key Responsibilities Will Be

Enrollment and Student Services:

  • Requests reserve caps each semester to restrict enrollment for EMP students. Monitors enrollment to prioritize enrollment for EMP students.

  • Plans, implements, and directs both the Fall and Spring graduation/recognition ceremonies for all graduating students (traditional and Coursera), enlisting help from other staff members in the department and ensuring that the events meet student, department, and campus expectations.

  • Serves as EMEN Faculty Course Questionnaire (FCQ) Coordinator, including ensuring the FCQ course list is accurate each semester; maintaining online files for all FCQ results; and pulling FCQ result and reports as requested by leadership for faculty comprehensive reviews.

  • Manages program data collection (admissions, student data, enrollments, etc.), organization, and reporting needs as requested.

  • Declares and awards certificates for degree and certificate students.

  • Serves as first reviewer on applications to make recommendations to the admissions committee.

Administrative & Office Coordinator:

  • Acts as the primary point of contact and connection (walk-ins, emails, phone, etc.) for all students, faculty, staff, vendors, and other visitors.

  • Manages, orders and tracks purchases as appropriate according to University rules, providing support to faculty and staff, such as ordering office supplies, textbooks, software, hardware and subscriptions, assisting with conference reservations and travel arrangements (hotel, airline tickets, etc.). This includes tracking what each faculty/staff has in their possession (computers, printers, etc.).

  • Supports scheduling, logistics and coordination of events and gatherings including setup and cleanup) such as faculty and staff meetings, seminars, student groups and outreach efforts. This includes coordinating rentals, catering or purchasing orders, paying and allocating expenses to appropriate funding sources, and creating official function and/or alcohol event forms and obtaining necessary approvals. On occasion, work on weekends and evenings may be expected.

  • Distributes department mail, schedules maintenance on departmental office equipment (printers, computers, etc.).

  • Works closely with EMP leadership on building or space issues, manages the maintenance, cleaning and repair of the EMP hallways and offices, and providing access for faculty, staff and students in appropriate office space.

  • Serves as the key/access, phone, and parking liaison.

  • Manages the organization of EMP common areas, including the conference room, break room and storage closet; purging unwanted items through the proper channels (Surplus Property Management, recycle or discard).

  • Manages student employee hires. This includes working with the Associate Director of Operations on approved hires; notifying the colleges financial and HR staff to process the hires through HR Service Center and working with the HR Service Center to get students paid if timesheets are submitted late.

  • Manages and updates the Engineering Management Program Faculty and Staff Canvas page.

Academic Scheduling Liaison:

  • Meets with the faculty leadership team and Associate Director of Operations to plan courses each semester, including communicating course schedules with all partners (e.g. faculty, Graduate and Undergraduate Manager, Academic Scheduling, etc.).

  • Sets-up, maintains, and updates courses in the university course scheduling system for summer, fall, and spring terms.

  • Offers back-up support for EMP Coursera course entry into the CIM system when personnel in the Office of Digital Education are not available.

  • Follows all deadlines established by the Academic Scheduling Unit within the Office of the Registrar that pertain to room requests and scheduling details within CLSS (CourseLeaf).

  • Attends campus, college, and department meetings concerning academic scheduling and registration. Keeps abreast of changes to the Academic Scheduling process as set forth by the Academic Scheduling unit in the Office of the Registrar.

  • Monitors and updates course enrollments.

  • Tracks the workflow for the course revision and course proposal process for undergraduate and graduate courses. If things get stuck somewhere, contacts that person/department to move the process along.

  • Keeps historical data on course enrollments, classroom usage, courses offered (both distance/online and on-campus, and Coursera) and other course-related information while providing analytics.

Other:

  • Stays apprised and current on relevant University and State of Colorado policies and procedures.

  • Participates in professional development activities and serve on department, college, or campus committees as applicable.

  • Recommends and implements process improvements to increase department efficiency.

  • Documents all processes and procedures making them accessible to team members.

  • Supports the EMP leadership, faculty and staff for priority action items and projects, as needed.

This position may be eligible for a hybrid work modality, consistent with the College of Engineering and Applied Science Hybrid Work Policy.

What We Can Offer

The starting salary range for this position is $53,000 - $62,000. Relocation assistance is available within department guidelines.

What We Require

  • Bachelors degree or equivalent work experience in a related field from an accredited college or university.

  • One year experience with administrative and customer service experience, or related work.

  • Equivalent combination of education and experience may substitute.
