Schedule: Full Time

Shift : 40 hours/week; Monday - Friday 8:00a - 4:30p

Location: AdventHealth Bolingbrook, w/some travel to other hospital sites on occasion

GENERAL SUMMARY:

Responsible for Human Resources (HR) routine and special audits including, but not limited to, departmental/HR records, HR policies and procedures, and licensure/certification/registration. The HR Regulatory/Audit Coordinator ensures employee regulatory compliance in all areas of federal, state, local, regulatory agencies, and AH policy and procedure requirements. Assists HR Compliance team and HR Leadership in developing, understanding, and communicating regulatory compliance. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.

PRINCIPAL DUTIES AND JOB RESPONSIBILITIES :

· Monitors, tracks, and primary sources employee license/certification/registration renewals required by employee’s job description. Notifies employees, AH Leaders, and HR Management of license/certification/registration expiration and non-compliance on an ongoing basis, and recommends continued or terminated employment.

· Monitors and tracks employee requirements including, but not limited to, license/certification/registration, level II & III background checks, Tb/Mask Fit, Basic Annual Required Education (BARE Facts), etc.

· Develops, prepares, and conducts audits to review and ensure compliance with AH policies and procedures, regulatory, and legal requirements. Identifies gaps and provides process improvements and corrective action plans regarding audit results.

· Responsible for audits and compliance of Non-AH Staff with regulatory requirements

· Provides support and information, including periodic progress reports to the HR Compliance Manager, external and/or regulatory auditor.

· Reviews job descriptions for required credentials, clarifying with HR management and/or department Directors any discrepancies or questions. Documents and maintains all credential requirements on regulatory database.

· Provides support gathering employee files and documents requested during announced or unannounced audits/surveys.

· Partners with HR colleagues to ensure consistency in policy/process/program frameworks and implementation in functional areas.

· Prioritizes and organizes assigned responsibilities effectively with accurate results and meeting deadlines provided. Assists in special projects.

· Performs other duties as assigned.

Qualifications

KNOWLEDGE AND SKILLS REQUIRED:

· Good interpersonal skills and ability to effectively communicate in writing and verbally, with all levels of staff, including management and director levels, as well as external contacts

· Ability to conduct oneself professionally, maintaining confidence and confidentiality

· Ability to research primary source documentation to discern validity

· Computer Skills (Microsoft Suite), attention to detail and ability to focus on and complete assignments in a timely manner

· Self-motivated with good organizational and analytical skills

KNOWLEDGE AND SKILLS PREFERRED:

· At least 5 years experience in legal, regulatory compliance, HR, employment laws and regulations

EDUCATION AND EXPERIENCE REQUIRED:

· Prior HR, regulatory compliance or related experience

EDUCATION AND EXPERIENCE PREFERRED:

· Associate’s degree in HR or related field

LICENSURE, CERTIFICATION OR REGISTRATION PREFERRED:

· Professional in Human Resources (PHR), Senior Professional in Human Resources (SPHR), Society for Human Resource Management Certified Professional (SHRM-CP), or Society for Human Resource Management Senior Certified Professional (SHRM-SCP) certification
