Job Overview

We are currently seeking a dynamic, highly motivated, and experienced individual for the position of Sr Director Medical Business Operations, Team Lead

The Sr. Director, Medical Business Operations will lead the Medical Affairs operations agenda for the head of Medical Affairs, VP, working to maximize the performance and impact of the business. This role will anticipate, identify, understand, engage in, and support effective prioritization of issues and opportunities across the MA organization and ensure resolution and implementation in a timely and effective manner. As a member of the Medical Affairs LT (MALT), he/she will provide strategic and operational support to enhance organizational efficiency, goal clarity and alignment of activities between MA and key internal and external stakeholders. This role demands strong leadership, strategic thinking, project management skills, and exceptional financial oversight to enhance operational efficiency and project success.

Job Duties and Responsibilities

Key responsibilities in the following areas:

Operational Management Leadership:

  • Member of the Medical Affairs Leadership Team (MALT), reporting into the VP, Head of Medical Affairs

  • Lead operations of the office of the Head of MA, the annual Op Plan, Communication Plan strategy, and market/site visits

  • Identify areas for further operational efficiency and simplicity in support of the Head of MA

  • Draft and report on Corporate and Functional Objectives, including KPIs

  • Accountable for the efficient governance of key meetings. Manage meeting agendas and actively support Medical Affairs Scientific Teams (MAST) and Global Medical Affairs Meetings (GMAM) through scheduling, participation, and slide generation

  • This includes fit for purpose attendance, decision-oriented agendas, capture, tracking and follow up of action items and working with the appropriate colleague(s) to ensure seamless planning and logistics

  • Be an accelerator by ensuring alignment within the business and organization, participating on or leading special projects, leveraging an extensive network to seek out and apply learnings for greater efficiency or faster impact and ensuring effective use of resources by maximizing the use of matrixed and enabling function teams

  • Provide strategic and operations support to the Head of MA for Initiatives

Leadership & Team Management:

  • Lead a team of operations colleagues who will support the Medical organization and the therapeutic area (Biopharma and Oncology) medical LTs

  • Help address and coordinate resolution of requests from various stakeholders

  • Mentor the team, fostering a high-performance “ONE Team” culture.

  • Manage recruitment and onboarding to meet departmental needs.

  • Partner cross-functionally with enabling internal functions and networks, while also partnering externally, as needed, to deliver insights and initiatives.

  • Act as a key enabler in building a strong culture and driving our purpose and values through partnerships with Communications, HR and others ensuring optimal understanding and uptake across the organization. This includes activities such as an annual communications plan, town halls, recognition, survey action planning, etc.

Finance and Budget Management:

  • Develop and manage budgets, ensuring alignment, accruals, with financial targets and providing monthly updates to senior leadership.

  • Collaborate with finance for accurate financial reporting and accrual management.

  • Support contract management

  • Optimize resource allocation to meet budgetary constraints and project needs.

Strategy and Program support:

  • Oversee specialized program requests, including Sponsorships, Grants, and Independent Medical Educations (IME), PRC Medical Reviewer, and managing Areas of Interest around program strategies and tactics.

  • Support Single Patient INDs / Expanded Access

  • Support IIS and Collaborative Research

  • Partner with alliances on strategic initiatives per agreed on strategy and tactics

  • Handle submissions through portals to support program goals and manage technology upgrades

  • Oversee project life cycle, ensuring on-time and budget-compliant delivery.

  • Attend tier-1 congress and support booths including supporting debrief sessions, KOL meetings, lead alliance workshops

Process Improvement:

  • Work with teams to standardize processes for project initiation, execution, and delivery to uphold project management best practices.

  • Maintain effective tracking systems and identify areas for process improvement to enhance efficiency and reduce bottlenecks.

  • Lead meetings to track progress and resolve challenges.

Strategic Planning & Reporting:

  • Prepare executive-level presentations on project status, challenges, and opportunities for governance including GMAM, OPC, USMC, GMC, BOD.

  • Keep stakeholders informed about project risks, issues, and necessary changes via MAST.

  • Align project efforts with broader organizational strategies and goals.

  • Provide strategic insights and recommendations based on project results and industry trends (such as MAPS, ERG).

  • Provide strategic and tactical input to sub-teams on their medical activities (as needed)

  • Broad knowledge of the pharmaceutical industry and healthcare environment; experience in science-based roles is preferred

NON-STANDARD WORK SCHEDULE, TRAVEL OR ENVIRONMENT REQUIREMENTS

  • Ability to travel up to 30%

Education and Experience

  • Bachelor’s degree in a related field required

  • MSc or advanced degree (PhD) preferred

  • Minimum 15 – 20 years (w/o Master’s) or 10 – 15 years (with Master’s) of relevant experience in biotech or pharmaceutical industry

The base salary range for this role is $224,200 to $280,200. Base salary is part of our total rewards package which also includes the opportunity for merit-based salary increases, short incentive plan participation, eligibility for our 401(k) plan, medical, dental, vision, life and disability insurances and leaves provided in line with your work state. Our robust time-off policy includes flexible paid time off, 11 paid holidays plus additional time off for a shut-down period during the last week of December, 80 hours of paid sick time upon hire and each year thereafter. Total compensation, including base salary to be offered, will depend on elements unique to each candidate, including candidate experience, skills, education and other factors permitted by law.
