AMERICAN Cast Iron Pipe Company (ACIPCO) Project Assistant - AFC (1086447) in Birmingham, Alabama

The Project Assistant plays a pivotal role within our Project Management team, delivering exceptional customer service both directly and indirectly for our AMERICAN Flow Control (AFC) Division. This role involves efficiently handling phone inquiries and providing support to customers. Additionally, responsibilities include preparing sales order acknowledgments, performing word processing tasks, managing mail distribution, processing credit requests, filing documents, handling incoming faxes, updating material return databases, aiding in order entry, and maintaining current customer databases and technical bulletins. Furthermore, the Project Assistant contributes to MSS and AWWA committee work. This position requires strong organizational skills, attention to detail, and the ability to work collaboratively within a dynamic team environment.


Key Responsibilities:

  1. Utilize product knowledge to properly direct phone calls and effectively assist with order entry, quote entry, and customer material list evaluation.
  2. Enter purchase order into the computer system.
  3. Prepare and mail sales order acknowledgments in a timely fashion to support departmental customer service levels.
  4. Assist in answering and directing incoming phone calls.
  5. Transmit outgoing faxes and distribute incoming faxes.
  6. Act as back-up for secretaries.
  7. Keep work area clean and orderly. Know safety rules that apply to the safety of others and to personal safety. Report malfunction of equipment to proper authority. Perform other work as instructed by supervision.
  8. Perform word processing and prepare spreadsheets as required by the Project Coordinator's and Manager.
  9. Cooperatively work with the customer service team members to provide the highest quality customer service and assistance possible to AFC customers. Maintain outstanding levels of courtesy, sensitivity, and responsiveness under high stress and other adverse conditions. Foster the team environment by continuously contributing to the methods used to meet corporate, department, and team customer service goals.

  • Must be able to work overtime on short notice in order to meet deadlines.
  • Must demonstrate proficiency on operating common Windows-based business computer software, including spreadsheets and word processing programs.
  • Must exhibit the ability to work with confidential information and maintain confidentiality.
