LOCKWOOD SCHOOL DIST #26 Accounts Payable Clerk/Payroll Assistant in BILLINGS, Montana

Lockwood Schools has an opening for a Accounts Payable/Payroll Assistant. This person will be responsible for maintaining accurate purchasing, accounts payable, and inventory records, assist the business manager with payroll and other business office duties. There is great emphasis on confidentiality in the business office. ESSENTIAL DUTIES AND RESPONSIBILITIES: 1. Responsible for computer input of all purchase orders, designates purchase order numbers and observes proper account coding. 2. Acts as shipping and receiving clerk for all buildings and checks off packing slip against purchase orders. 3. Processes invoices where purchase orders were issued using the appropriate form that includes account coding. 4. Facilitates all necessary record retention for expenditures. 5. Assists with the monthly reconciliation of the county treasurer's report. 6. Preparation of monthly reports including expenditures and receipts. 7. Assists with annual district audit. 8. Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities. 9. Assists with the compilation of payroll data, addition of time sheets/timecards and enters time sheet information into software application. 10. Updates employee information in files/computer. 11. Assists in various governmental reporting requirements. 12. Assists with filing payroll records in employee files. 13. Communicates with the Activities Department regarding account balances and expenditures. PHYSICAL DEMANDS: While performing the duties of this job, the employee is frequently required to sit; occasionally walk and stand; travel from building to other sites. Specific vision abilities required by this job include close vision, distance vision, depth perception, and the ability to adjust focus. The employee is required to be able to hear conversations in quiet environments. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 50 pounds. WORK ENVIRONMENT: While performing the duties of this job, the employee regularly works inside. The noise level in the work environment is usually quiet to moderate. The employee must work well under pressure to meet multiple and sometimes competing deadlines. The employee shall, at all times, demonstrate cooperative behavior with colleagues and supervisors.
