Overview

The Assistant Project Manager assists the Project Management Team with program related administrative tasks and day to day project specific tasks related to significant capital improvement/renovation projects throughout the Company’s client portfolio. This position facilitates functional programming, facilities design and construction of capital projects utilizing skills to achieve successful project outcomes. This position is accountable for specific coordination/supervision tasks to help the team build, renovate or modernize existing facilities. Reports directly to the Senior Director.

This is a position with great growth potential and the opportunity to potentially manage small project assignments that the APM would be independently accountable for.

Responsibilities

This position supports the project execution team and internal stakeholders (HEI) on assigned projects through daily interaction with the external project team of architects, engineers, consultants, contractors, vendors and other professionals through the process of planning, design and renovations of specific hotel projects. Specific duties will include, but not limited to:

  • Assist with due diligence efforts for new deals/acquisitions (new construction or existing assets). Includes but not limited to team formation, organizing due diligence budget, field assessments, synthesizing available information and preparing recommendation.

  • Assist in development of project specific scope and budget source documents for basis of acquisitions, brand negotiations and launch of project execution.

  • Assist with estimation of costs using direct experience, comparable projects and outside resources.

  • Assist with the management of the procurement of design, construction and consultants’ services.

  • Assist in the review of architectural and engineering construction drawings and bid documents.

  • Draft, review, communicate and enforce contractual documents for design and construction professionals.

  • Serve as additional liaison between hotel operations and design and construction professionals.

  • Assist in maintaining and updating project forecast and budget, and project schedule including utilization of web-based project controls.

  • Assist in the analysis of budgets and schedules and their effect on the financial objectives of the project. reporting up to project lead.

  • Review contractor and vendor onsite activities to verify they are in contractual compliance with design specifications, schedules and workmanship standards.

  • Assist with the drafting, review and issuance of contracts, purchase orders and follow up on scheduled progress draw packages for payment.

  • Assist with the project close out process to a successful completion.

  • Observe and report on construction process and construction related issues.

  • Prepare documentation for analysis and review of specific issues.

  • Document project meetings issuing agendas and minutes to project teams, as requested by lead.

  • Develop and complete project specific tasks as required to meet or exceed the expectations of the client and fulfill our contractual obligations.

  • Proactively assist senior management in project proposals and subsequent interviews.

  • Assist with project filing and project archive management.

  • Compile, review and/or approve travel and reimbursable expenses submitted by consultants.

  • Drafting of service proposals and routing as required.

  • Assist with drafting and distribution of Requests for Proposals and Requests for Qualifications.

  • Promote the highest level of professionalism and ethics

Qualifications

Required Skills and Experience

  • 1-2 years of design and construction experience.

  • Basic knowledge of construction, lodging, and real estate development.

  • Basic knowledge of the role of external project consultants (project managers, architects, contractors, miscellaneous consultants).

  • Excellent organizational skills, with the ability to produce high quality reports in a timely manner.

  • Proficiency in MS Project, Excel, Word, and PowerPoint.

  • Proficiency/experience with PM and accounting software platforms

  • Strong written, verbal and presentation skills are required.

  • Team player with excellent interpersonal skills.

  • Managing processes and promoting process improvement.

  • Time management and ability to meet deadlines.

  • Basic budgeting and accounting skills.

  • Problem-solving and decision making.

  • Proactivity and self-direction.

  • Experience working with both internal and external project management team resource.

  • Project accounting skills and management experience, utilizing an industry recognized software platform is a plus.

  • BA/BS in Architecture, Interior Design, Engineering, Project or Construction Management or related field in hotel/lodging industry preferred.

    The position requires an adaptable, motivated self-starter with a high level of personal integrity and business ethics who has the ability to work in a team environment. The position must also have the ability to develop long-term relationships with clients and other business partners. Time management and personal effectiveness skills are essential as are good communications, organization and computer skills. The applicant will need to demonstrate skills in managing successful projects, meeting client expectations and timelines, procuring and engaging design, construction and consultants’ services, the ability to maintain professionalism in the face of deadlines, exhibit good listening, negotiation and problem-solving skills and show the ability to handle confidential information with discretion and integrity
