Philips R&D Department Assistant in Best, Netherlands
Job title:
As R&D Department Assistant/Project Assistant, you will support the Sr. Director of System Development Cluster (and its departments) within IGT- Systems in secretarial and organizational matters. You will be located in Best and are expected at the office in Best 5 days a week with some flexibility for remote work when needed. Your role:
Accurate management of the daily calendar, anticipating last minute changes and setting priorities.
Provide daily administrative support, arrange travel, process visa requests and expense reports.
Schedule and coordinate customer visits and customer events. Support in the creation of meeting agenda and align with content owners and customer.
Support the team in the creation and processing of purchase orders and payment to third parties.
You will support the SDC team with several general tasks, such as ordering goods, on- and off-boarding support and welcoming visitors. You co-operate closely with other assistants of IGT Systems and maintain a positive working relationship.
Performing, entirely independently, the range of tasks by using tools i.e. MS Office (Word, PPT, Excel), SAP/Ariba, Workday, Concur, Planon Self Service, Sharepoint, Philips Intranet, Philips community, Lyreco (ordering office supplies) etc.
Serving as a contact to employees and other stakeholders inside and outside the organization and helping ensure smooth operations in close co-operating with assistants of IGT Systems.
Assist in planning and organizing team activities, meetings, and workshops.
Coordinate schedules, venues, and materials to ensure seamless execution of events.
Organize and support in-house and external events, including venue booking, catering, equipment setup, and invitations.
Monitor office supplies inventory and place timely orders to ensure the office is adequately stocked with essential materials.
Identify and remove work from the plate of the management team and engineering staff to allow them to focus more of their time on their other activities that only they can do.
You're the right fit if:
Minimum of 2 to 5 years of secretarial and project coordination experience or demonstrable experience within the duties and responsibilities of this role. Showing good organizational skills, bringing in enthusiasm, pro-activeness, flexibility, and a continuous learning and improving mentality.
You have a passion to support people and apply strong organizational and coordination skills, with a proactive mindset and ability to work independently.
You can easily manage IT tools and communication technologies and have a good understanding of Microsoft Office (strong skills with Word, Excel and Powerpoint) and other administrative IT tools.
You have a strong work ethic and positive attitude. You can deal with sensitive, complex and confidential information. You are discrete and trustworthy, structured, and accurate.
Experience and passionate about working directly with IGT Systems customers.
Enthusiasm and willingness to take ownership, can work independently and is flexible towards changes.
Experience within a large international organization is required (and you have strong verbal and written communication skills in English (working language). You are sensitive to time zone and cultural differences.
