Training and Documentation Specialist - Pharmacy
What we are looking for
We are seeking a Training and Documentation Specialist for our Berwyn, PA location. This pivotal role is critical in supporting the growth and performance of the Specialty Pharmacy department by developing, delivering, and maintaining comprehensive training programs and standardized documentation. This position is responsible for designing engaging, effective learning materials and job aids tailored to adult learners, including new hire onboarding, ongoing education, and updates to systems and processes. In addition to instructional delivery, this role leads the creation, maintenance, and version control of Standard Operating Procedures (SOPs), ensuring accuracy, regulatory compliance, and alignment with operational workflows.
This position also manages the department’s Knowledge Management System (KMS), ensuring that all content is current, well-organized, searchable, and easily accessible to end users. The Specialist will collaborate cross-functionally with operations, clinical, quality, compliance, and IT teams to ensure all training, documentation, and knowledge-sharing initiatives are effective, consistent, and aligned with the dynamic needs of a specialty pharmacy environment.
The role is based in our Berwyn, PA office. This position will be required to be in the office 5 days a week, Monday through Friday, for the first 30 days for training purposes. After that, it will be a hybrid role that requires in-office work three (3) days per week.
What the position will be doing
Design, develop, and deliver training programs, presentations, and materials for new hire onboarding, role-based learning, system/process updates, and compliance initiatives.
Facilitate engaging, interactive training sessions for adult learners through both virtual platforms and in-person formats.
Collaborate with team members and departmental leaders to assess learning needs and prioritize training initiatives based on business goals and performance gaps.
Coordinate logistics, training schedules, participant communications, materials distribution, and technology setup to ensure seamless training delivery.
Develop, maintain, and revise Standard Operating Procedures (SOPs), work instructions, and reference guides in accordance with regulatory standards and internal workflows.
Manage the department’s Knowledge Management System (KMS), ensuring content is accurate, up-to-date, version-controlled, and easily accessible to staff.
Serve as the primary point of contact for knowledge management best practices, taxonomy, user access, and content lifecycle management.
Conduct post-training evaluations, surveys, and assessments to measure training effectiveness and gather feedback for continuous improvement.
Develop and implement metrics to assess the effectiveness of training programs, identify opportunities for enhancement, and ensure continuous improvement.
Research and recommend innovative learning technologies, platforms, and tools to enhance the delivery and accessibility of training programs.
Collaborate with subject matter experts (SMEs) and stakeholders to ensure content accuracy, relevance, and alignment with operational and compliance standards.
Partner with sales, compliance, product, and implementation teams to support training and documentation for multiple client projects, ensuring consistency and readiness across deliverables
Monitor changes in operations, systems, and regulatory requirements to proactively update training materials and SOPs.
Support the development of competency assessments, certification processes, and refresher training initiatives.
Maintain detailed records of training activities, attendance, and evaluations for audit readiness and quality assurance.
Promote a culture of continuous learning, operational excellence, and knowledge sharing across the department.
Perform other related duties as assigned or necessary; remain flexible and adaptable in work schedules and assignments as defined by departmental and organizational needs.
Necessary Skills, Education & Abilities
Bachelor's degree in education, Instructional Design, Training, Knowledge Management, or a related field. Relevant internships or coursework in these areas is a plus.
Advanced degree or certification in adult learning, instructional design, or technical writing preferred.
3–5 years of experience designing, delivering, and evaluating training programs for adult learners in a healthcare, pharmacy, or regulated industry setting. Demonstrated experience in creating and optimizing operational procedures, work instructions, and training materials
Proven success in facilitating both in-person and virtual training sessions using adult learning principles.
Proven ability to work cross-functionally and collaborate with various teams
Experience with analytics tools or data analysis methods is a plus
Prior experience in specialty pharmacy, pharmacy operations, healthcare services, or pharmaceutical services is strongly preferred.
Enthusiasm for learning and a passion for helping others grow and succeed.
Strong presentation and facilitation skills with the ability to engage and educate a diverse audience of adult learners.
Excellent writing, editing, and document design skills with attention to clarity, accuracy, and consistency.
Detail-oriented with good organizational skills to coordinate training logistics and manage knowledge repositories.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and the ability to quickly learn new software tools.
Proficient in eLearning authoring tools (e.g., Articulate, Camtasia), and collaboration platforms (e.g., Teams, SharePoint).
Knowledge of instructional design models (ADDIE, Kirkpatrick) and ability to develop metrics to evaluate training impact.
Strong project management and organizational skills; ability to manage multiple training initiatives and client projects simultaneously.
Collaborative mindset with the ability to work cross-functionally with sales, compliance, product, implementation, and clinical teams.
Able to thrive in a fast-paced environment with constantly changing priorities, flexible and adaptive to changing processes and procedures.
Feedback and Improvement Management: Skills in gathering feedback from stakeholders, identifying documentation gaps, and continuously improving training and documentation resources
Ability to Translate Technical Information: Proficiency in translating technical product information into clear, business-oriented language suitable for the target audience
