We are SLR Consulting (US), a 500+ coast-to-coast team of advisory, environmental/engineering, and regulatory professionals. We are Making Sustainability Happen. As our new Administrative Assistant, you will play an important role on a team whose work is essential to achieving this goal. Role SLR is offering a unique opportunity to an administrative assistant who seeks variety in the workplace! This position will be based in our Bedford, New Hampshire office, while conjunctionally offering remote daily administrative support to our Portland, Maine office. While also traveling to our Portland, Maine office 1-2 times per month to support local teams and initiatives, SLR will provide reimbursement for fuel or mileage, including paid travel time. This opportunity is a part-time role, with the possibility of full-time opportunities in the future. Responsibilities - Bedford, New Hampshire and Portland, Maine Office: Collect, assemble, organize and file necessary backup data to support MaineDOT field inspection contract Prepare monthly invoices, utilizing required MEDOT format (EXCEL spreadsheet), detailing approved hours and expenses toward each WIN project number Inventory, organize, and order office supplies needed for staff including ink for plotter and printer, copy and printer paper, pens, markers, tape, etc. including research of optimal pricing and new suppliers Inventory and stock needed replaceable items such as light bulbs, batteries, bathroom and kitchen paper goods and supplies, coffee supplies, etc. Print, organize and GBC bind proposal packages in accordance with specific proposal instructions or in coordination with the marketing team Prepare packaging and deliver job-related plans, proposals, mail, FedEx, packages to various clients, project partners, and/or prospective clients Format, proof and type proposal letters, job-related meeting minutes, project summary sheets, resume updates, monthly reports, and other business correspondence Assist in the preparation of job-related presentations, spreadsheets and reports Track, inventory and document proposal opportunities, award status, awarded projects and associated information Provide general support to visitors and act as the point of contact for internal and external clients. Includes answering and directing phone calls, checking voice messages, etc. Update and maintain office policies and procedures. This includes working with internal support departments such as Marketing, IT, Accounting, People Team, HSE, as needed, to ensure the office is following company standards Contact and consult with lease property manager, parking management company, office cleaning company and other contractors to facilitate repairs, ensure billing is accurate, and research pricing and alternates as necessary Assist office staff and marketing team in the preparation of proposal packages by assembling, editing, and compiling various data to be included in the proposal package including resumes, org charts, schedules, photos and technical information Track, organize and file appropriate job-related information in accordance with company policy Provide general administrative support as needed both in person in our Bedford, NH office, and remotely to our Portland, ME office Candidate must be willing to drive to our Portland, ME office 1-2 times per month to provide administrative support. The hourly range for this position is $18.00 - $20.00. Final agreed upon compensation will be commensurate with individual education, professional designation, experience, internal parity, and location. The following education, experience, skills, and abilities are highly desirable: Associate's degree in business/office administration or a related field is desirable 2+ years of administrative experience in a professional office environment Experience in writing, proofreading, and editing documents and the ability to apply English usage and grammar skills are required Strong organizational skills with attention to detail Technically savvy and proficient in advanced Microsoft Word, Outlook, Excel, and PowerPoint Experience with report design in Adobe InDesign and Adobe Acrobat preferred Ability to work in a fast-paced and deadline-driven work environment Previous experience in a consulting firm or related industry is desirable Team Player Strong written and verbal communication skills Ability to prioritize and keep multiple tasks on schedule Problem solver Diversity, equity, and inclusion (DEandI) are at the core of who we are and want to be.
