Summary This position is located under the Health Administration Service at the C.W. Bill Young (CWBY) Veterans Administration Medical Center (VAMC), Bay Pines, FL. The Medical Support Assistant embraces and supports the mission, vision, and values of the VA Healthcare System. Responsibilities The Call Center: Centralized unit dedicated to multiple ancillary and interdisciplinary outpatient clinics that determine the need of the caller (i.e., scheduling, processing refill requests, reviewing CPRS, and routing clinical questions to appropriate clinical staff). The MSA receives all incoming calls placed to the Bay Pines VA Healthcare System from Veterans requesting efficient and responsive help regarding a variety of administrative and or medical needs. The Ward Administration: Inpatient units including, but not limited to: Community Living Center (CLC), Medical Unit, Surgical Unit, Intensive Care Unit (ICU), Domiciliary, Mental Health Units (Acute, Geriatric Psych, and Substance Abuse). Performs a full range of duties in an inpatient setting and performs medical administrative support to one of more wards to document care and treatment given to patient's charts, or work associated with the medical records systems of the inpatient wards of the facility. The Medical Support Assistant duties consist of but are not limited to the following: Supports the clinical services and/or programs assigned to. Acts in the capacity of liaison between patients, team members as well as primary care, specialty and ancillary services. Provides information and technical support on availability of services, points of contact and necessary authorizations and approvals. Assist with requests for information from patients and/or staff members but when the situation cannot be resolved. Refers individual to the appropriate person or service. Analyzes situations to determine what decisions can be made or if advice of a higher authority is needed, especially for problems that may involve public relations. Communicates effectively with people from diverse cultural, educational, and organizational backgrounds within and outside this healthcare system. Work Schedule: The Bay Pines VA Medical Center is a 24/7 operation. Our immediate need are irregular hours including evenings, weekends and holidays. Available tours are listed below: 3:30 pm - 12:00 am to include Weekends and Holidays 11:30 pm - 8:00 am to include Weekends and Holidays 12:00am - 8:30 am to include Weekends and Holidays Telework: Not Available Virtual: This is not a virtual position Recruitment Incentive (Sign-on Bonus): Authorized for highly qualified candidates in the amount of $7500 with a one year service agreement. Permanent Change of Station (Relocation Assistance): Not Authorized Pay: Competitive salary and regular salary increases when setting pay, a higher step rate of the appropriate grade may be determined after consideration of existing pay, higher or unique qualifications, or special needs of the VA (Above Minimum Rate of the Grade). Paid Time Off: 37-50 days of annual paid time offer per year (13-26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year) Parental Leave: After 12 months of employment, up to 12 weeks of paid parental leave in connection with the birth, adoption, or foster care placement of a child. Experience and Education. Experience. One year of experience equivalent to the next lower grade level(2) Education. Four years of education above high school. OR Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. Certification. None required. Foreign Education. To be creditable, education completed outside the U.S. must have been submitted to a private organization that specializes in the interpretation of foreign educational credentials and such education must have been deemed at least equivalent to that gained in conventional U.S. programs. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j. Grade Determinations: GS-5 Medical Support Assistant (MSA) (Full Performance Level) Experience: One year of experience equivalent to the GS-04 grade level OR Education: Four years of education above high school leading to a Bachelors Degree. Specialized experience at the next lower grade level for the GS-679-05 is at the GS-679-04 grade level. Specialized experience consist of but are not limited to the following: Responsible for [answering phones, greeting patients, relaying messages to appropriate staff inside or outside of the unit], scheduling appointments, including interpreting and verifying provider orders in accordance with VHA national scheduling guidelines. Monitoring both inpatient and outpatient appointments in areas of responsibility; verifying and updating demographics and insurance information. Candidates must demonstrate all of the Knowledge, Skills & Abilities (KSAs) below: 1. Ability to operate computerized programs and systems in order to enter, modify and retrieve medical and patient identifying information (PII) into or from electronic health records, scheduling systems and/or reports. 2. Advanced knowledge of medical terminology specific to understand medical diagnosis and procedures sufficient to communicate clinical staff instructions to patients. 3. Ability to schedule medical appointments in a clinical setting. 4. Ability to work independently in the accomplishment of a wide variety of duties performing patient support work. 5. Ability to communicate effectively and professionally in person, electronically, and/or by phone, with internal and external customers. 6.Skill in customer service with the ability to identify customer concerns and refer to the appropriate staff, as necessary to ensure a satisfactory resolution. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. Physical Requirements: The Medical Support Assistant work is mostly sedentary; however, some walking; standing, and carrying light items are required. Light filing, sometimes involving working close to the floor, is involved. Wrist and back protection can be provided to minimize the risks associated with prolonged use of automated data processing equipment.
