Corporate Real Estate & Business Services is a global team that manages our vast corporate real estate portfolio. It also has responsibility for corporate security, business continuity, and business services such as facilities management, corporate services/ administration, document management, workplace health and safety etc. The team takes an innovative approach to supporting day-to-day operations and fostering a dynamic workplace, while driving commercial and operational efficiencies.
How you will create an impact
Responsible for the maintenance and repair of office facilities and equipment, ensuring the smooth running of office operations including but not limited to office furniture and fittings, security system, air conditioning, fire extinguisher, pest control, office utilities etc.
Oversee office relocation, fit-out, refurbishment and renovations as per AIG Global Corporate Real Estate guideline. Allocate and manage facility space for maximum efficiency. Supporting the business with iOffice workspace reservations, amendments and reporting as requested.
Manage office administration including but not limited to company records storage, visitor management, mail distribution, office insurance, company fleet, janitorial cleaning services, stationery, printers, photocopiers, pantry items, carpark allocation etc.
Responsible as tenant representative and liaises with Building Management in all aspect of building maintenance and service delivery as covenanted in tenancy agreement.
Ensure proper security & safety measures for the workplace, in collaboration with security system vendors and Regional Security. Provide local information during security events and ensure all incidents are reported timely.
Coordination of the Business Continuity activities for country with key stakeholders to ensure the business remains resilient and well prepared in the event of continuity challenges.
Support strategic sourcing initiatives in collaboration with AIG Global Sourcing & Procurement Services (GS&PS). Engage Legal in contract reviews to ensure that the appropriate contract documents are used to address AIG requirements and country/ local requirement. Monitor inventory and manage procurement for your direct area of responsibility, including vendor selection, contract negotiation, contract reviews and renewals aligned to AIG GS&PS policy.
Ensure business services process compliant with AIG policies and with Regulatory requirements. Meet deliverables for local Regulatory examination, internal or external audits and ensure timely closure of issues raised.
Support annual budgeting process, collating and tracking expenses related to Business Services. Update of company assets in the system and generate report for Head of Department’s information and management of assets write off.
To perform other reasonable tasks as assigned by supervisor from time to time.
What you’ll need to succeed
Relevant experience in business services management, real estate, property, or facility management.
Diploma or Bachelors’ degree in Business Administration/ Building Services Engineering/ Estate Management/ Facilities Management or equivalent preferred.
Building and M&E knowledge, with hands-on facilities management experience will be advantageous.
Enthusiasm to inspire and lead a team.
Excellent communication (both verbal and written) in both English and Thai.
Proven ability to operate in a matrix organization.
Excellent interpersonal skills, a good team player and possess can-do / can-learn attitudes.
Service-minded is a must and able to multi-task, set priorities and manage time effectively.
