Johns Hopkins University Sr. Academic Program Coordinator in Baltimore, Maryland

The Johns Hopkins University Krieger School of Arts & Sciences seeks a Sr. Academic Program Coordinator within the office of Academic Advising who will be responsible for providing logistical, administrative, and strategic support to the Assistant Director and Director of Academic Support.

Specific Duties & Responsibilities

  • Assumes administrative responsibility for intricate program elements that require collaboration with students, faculty, and other departments.

  • Payroll for 250+ student workers.

  • Create and disseminate mid and end of semester assessment and satisfaction surveys to student workers and student users.

  • Create and disseminate weekly Academic Support newsletter for student workers.

  • Development of mid and end of semester reports including a comprehensive attendance report each semester.

  • Download supported course rosters on a regular basis to manage course enrollment and recruitment.

  • Responsible for setting up and monitoring student staff time-entry logs, ensuring correct time entered and tracking hours logged for specific tasks, including hiring and termination (forms, tracking position #’s, hiring status) in a timely manner. This is a key role of the position and vital to student-employee retention.

  • Work in SAP/Timesheet X and be point person for communication from Student Employment Services.

  • Assist Director and Assistant Director with logistical aspects of the student interview process (setting up interview schedules, reserving space, candidate follow-up)

  • In collaboration with the Assistant Director, schedule, plan, develop and produce information sessions, session observations and student evaluations as needed.

  • Keep accurate records of active/inactive student staff on a semester-basis.

  • Coordination admissions process, scheduling for recruitment, class presentations, PILOT Leader meetings, Advisory Board meetings and other events.

  • May work with Admissions and Recruitment Committees to track trends and generate reports.

  • Manage weekly problem-set production and dissemination to PILOT Leaders.

  • Maintain weekly supply inventories of problem-set materials, office and session supplies.

  • Monitor and create reports on PILOT session and leader meeting attendance on a weekly-basis and communicate to students and Assistant Director.

  • Ensure problem-sets are uploaded to the program website on a weekly-basis.

  • Assist with training and event logistics (including working directly with vendors, coordinating schedule and room reservations, equipment/supplies needed)

  • Manage organization of One Drive folders.

  • Assist with conducting student staff interviews.

  • Maintain Program website.

  • Monitor Continued Training Participation and communicate outstanding requirement to student staff.

  • Assist AD with development of registration surveys, initial and continued as needed.

  • Manage room requests and assignments for all PILOT sessions, review sessions and events.

  • Assist with placement schedules, course waitlists and attendance for each session as needed.

  • May serve as back up to the Academic Program Coordinator.

  • Successful track record of managing programs and student staff.

  • Ability and confidence to build and maintain collaborations across campus with administration, faculty, and staff.

  • A high degree of enthusiasm, energy, and creativity for academic support and academic success.

  • Demonstrated ability to analyze and communicate data effectively.

  • Exceptional oral, public speaking, writing, listening and consensus-building skills.

  • Demonstrated capacity to work effectively with persons from diverse backgrounds (e.g., class, race, nationality, sexual orientation, religious affiliation, etc.) and to foster sensitivity to diversity and an inclusive campus and community culture.

  • Strong attention to detail, excellent organizational skills and demonstrated success in providing friendly, high-quality service with effective outreach abilities.

  • Ability to interpret, apply and abide by the Federal Education Rights and Privacy Act.

Minimum Qualifications

  • High School Diploma or graduation equivalent. Bachelor's Degree preferred.

  • Five years progressively responsible administrative/academic experience.

  • Additional education may substitute for required experience and additional related experience may substitute for required education beyond HS Diploma/Graduation Equivalent, to the extent permitted by the JHU equivalency formula.

Starting Salary Range: $21.25 - $29.05 - $36.90 HRLY (Commensurate w/exp.)

Employee group: Full Time

Schedule: Monday - Friday, 8:30 am - 5:00 pm
