Job Title: Project Admin Assistant
Job Description
As a Project Admin Assistant, you will process and manage project-specific documentation throughout the project duration. This role involves reviewing contract documents, contract drawings/plans, and specifications to determine the required project-specific forms. You will set up new project phases within project management software for processing drawings, specifications, and project information, and manage all project-related document control within company servers, project management platforms, SharePoint sites, and/or hard copy files.
Responsibilities
Maintain project submittals and requests for information, including the distribution of responses, resubmittals, workflow assignments, due dates, and updating/expediting tracking logs.
Perform subcontractor and vendor invoice management, including initial review of all project invoices, assigning cost codes, proper filing, and review for proper retainage and tax exemptions.
Ensure subcontractors and vendors comply with contract requirements (insurance, submission of lien waivers, etc.) prior to recommending the release of payment.
Collect cost data required to monitor project budgets and estimates.
Assist with the administration and tracking of change orders, back charges, and claims for extra compensation.
Assist with the development of budget forecasts and monitor the progress of work per cost accounts.
Assist with maintaining all software platforms, including AutoDesk, Procore, and SharePoint/OneDrive.
Attend owner, subcontractor, and internal meetings; keep, maintain, and publish meeting minutes and action items.
Support the project team with the maintenance, publication, and filing of daily reports.
Assist with or perform the development and publication of project turnover documents.
Label, file, and manage project electronic photos and videos.
Print, package, and send hard copy documentation as required by contract.
Provide general office support, including research, data entry, document updates, etc.
Ensure both internal and external customer satisfaction.
Maintain high professional and construction ethics.
Essential Skills
1-2 projects of experience, specifically in ground-up construction projects.
Familiarity with ProCore or AutoDesk Build.
Intermediate/expert knowledge of all Microsoft Office tools, particularly Excel and Outlook.
Experience creating and editing PDFs.
Excellent communication and organization skills.
Experience using construction management platforms Autodesk Build and Procore.
Experience tracking and classifying trade labor hours.
Familiarity with accounting principles, particularly in a construction environment.
Ability to work within an established group and as instructed.
Ability to work effectively independently and as part of an existing team.
Additional Skills & Qualifications
Experience in construction, electrical, engineering, safety, project management, construction management, project coordination, and project administration.
Experience with change orders, administrative assistance, scheduling meetings, clerical tasks, site development, commercial construction, QA/QC, data administration, document control, customer service, invoicing, reporting, and data entry.

Work Environment
The role involves working outdoors, often in noisy and sometimes unpleasant environments. The position requires physical activity, including lifting up to 50 lbs, climbing, bending, and standing for extended periods. The work may involve exposure to various weather conditions and construction site hazards. The role requires adherence to strict safety protocols and the use of personal protective equipment (PPE) at all times. The position may require overnight travel and extended stays at project sites, including potential long-term relocation. Collaboration with a diverse team of professionals, including engineers, contractors, and client representatives, is essential. The work environment is dynamic and fast-paced, requiring adaptability and quick decision-making.
Job Type & Location
This is a Contract to Hire position based out of Bakersfield, California.
Pay and Benefits
The pay range for this position is $23.00 - $25.00/hr.
