Amentum Travel Coordinator in Baghdad, Iraq

The Travel Coordinator will be based at one of three Amentum sites in Iraq and support the Operations and Maintenance Support Services (OMSS) contract in support of the U.S. Department of State. This position will be responsible for tracking personnel movements, planning itineraries and scheduling travel accommodations for personnel per the SOW for the site’s task order and travel orders using knowledge of routes, types of carriers, time zones and travel regulations. The Travel Coordinator is part of a collaborative team responsible for implementing personnel movement initiatives and establishing Travel functional excellence. This position will report to the Travel Operations Supervisor. The duties and responsibilities listed below are representative of the nature and level of work assigned and are not necessarily all inclusive.

DUTIES:

  • Responsible for maintaining a safe workplace and ensuring that safety is the highest priority in the workplace.

  • Comply with all Environmental Health & Safety and Quality Assurance requirements and goals. Provide information and materials to these divisions as necessary to ensure adequate and legal documentation.

  • Coordinate and communicate travel need with employees, Amentum travel in Dubai and/or Corporate on a regular basis.

  • Coordinate with Amentum travel in Dubai and booking agencies on a regular basis for booking needs and/or changes and communicating changes of global travel restrictions to personnel.

  • Assist with in country and global travel requests.

  • Work with the Program Management, Finance, and HR for travel related approvals.

  • Verify travel requests to ensure authorizations and completeness (approval signatures, visa, passport)

  • Be familiar with all Amentum travel related policies and processes and be able to clearly communicate them to an international workforce.

  • Process travel request forms, verify completeness and travel dates and notify personnel of travel dates.

  • Assist personnel in completing travel forms and other business transactions pertaining to travel (i.e., medical/visa requirements, passport validity requirements, etc.).

  • Deliver related documents and travel orders to personnel prior to departure.

  • Assist in conducting departure Travel briefs and New Hire Orientation.

  • May be required to give written and oral reports or presentations to employees and site management.

  • Arrange for ground transportation for arriving or departing personnel.

  • Work with other departments regarding transportation and housing of personnel.

  • Assist with coverage for teammates while on R&R and/or other leave and/or as needs arise.

  • Serve the assistant to the POC for and subject matter expert on obtaining:

  • All required travel and entry/exit visas including the processes for renewals.

  • All required vetting, including the processes for renewals.

  • Report Operational Security (OPSEC) violations immediately to the Site Access Specialist.

  • May assist the principle POC with the vetting department and badging.

  • Perform additional duties as assigned and/or needed by program and site management. This may include assisting with new hire orientations, duty driving, site tours, billeting, auditing files, preparing documentation, and other duties as assigned.

REQUIRED:

  • Minimum Acceptable Experience Level:

  • Two (2) years’ experience in a position in a fast-paced environment that required high volume multi-tasking and/or coordination of tasks with a high level of attention to detail.

  • Two (2) years’ administrative assistance experience.

  • Two (2) or more years’ experience in an overseas environment working with various nationalities and cultures.

  • Knowledge, Skills, and Abilities:

  • Proven ability to work in a fast-paced environment that requires handling multiple tasks at a given time and rapidly adapting to changing priorities and schedules.

  • Ability to consistently meet deadlines, monitor and follow up on pending assignments, and have excellent organizational and time management skills.

  • Requires critical thinking and problem-solving skills, and the ability to work with minimal supervision.

  • Detail oriented to perform accurate data entry and research.

  • Commitment to deliver customer service excellence.

  • Ability to maintain the highest level of confidentiality with sensitive information.

  • Proficiency in Microsoft Office software – specifically MS Outlook and Excel.

  • Experience with using everyday tools (e.g., email, data retrieval, voicemail, and internet/intranet).

  • Ability to resolve conflict directly and productively.

  • Knowledge of principles and processes involved in supporting contract responsibilities at an overseas facility.

  • Cross-cultural sensitivity with an international perspective.

  • Ability to become an active and functioning member of a team.

  • Ability to be innovative and be an agent for change.

  • Expert communication skills to facilitate and disseminate information.

  • Education: A high school diploma or GED.

  • Passport, Licenses and Certifications: As part of pre-contingency requirements, by the time the visa process starts , candidates must possess a valid passport with a minimum of 18 months remaining to expiration date with 8 blank pages. Valid drivers’ license

  • Security Vetting: Already possess a US Government issued security clearance or Moderate Risk Public Trust (MRPT) or be able to obtain a favorable MRPT certification or US Government clearance prior to being hired is required for the position. Must maintain eligibility at the required certification or clearance level for the duration of the contract.

  • Language Skills: Satisfactory English proficiency to meet job requirements and to adhere and comply with safety, health, and security measures.

  • Medical: Successfully complete and pass the medical and dental examinations as required by Amentum and our customer for deployment to Iraq. Must maintain physical and dental requirements for duration of deployment.

DESIRED:

  • Two (2) years’ experience supporting personnel movement.

  • One to two (1-2) years’ experience in an executive level administrative assistance or business management capacity.

  • Completion of college-level computer, office management, or business courses.

  • Previous international experience is highly desirable and previous work experience in harsh environmental conditions is highly considered.

  • Experience working with Amentum.

WORKING AND LIVING CONDITIONS:

This position may be located in a war zone, in an environment with harsh and dangerous working and living conditions. While performing the duties of this job, the employee may regularly be exposed to extreme and austere desert-like environment. Temperatures can reach 120- 130 degrees Fahrenheit/50-55 degrees Celsius during the summer months. Employees must be willing and able to perform regular job requirements in this austere, extreme environment, as well as willing and able to deploy to Iraq for extended periods. Work schedules are a minimum of 6 days per week and 10 hours per day, while some jobs have higher daily and weekly minimums. Employees must be willing and able to perform physical activities including, but not limited to, heavy lifting and moving of items, parts, assemblies, and equipment up to the safety regulation maximum; climbing in and out of equipment; crawling; and working outdoors. This includes being able to lift and carry 40 pounds of personal protective equipment for extended periods of time and being capable of running and ‘duck & cover’ during emergencies without putting oneself or others at risk.
