Job Description
JOB FUNCTION/ PURPOSE
The Operations Support Coordinator is responsible for assisting the Operations Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Client Billing - Collection of billable data in the form of standardized and non-standardized reports (including contracts). Transfer collected data to spreadsheets. Enter data by line item for each billable charge into the billing system monthly for each association managed by Inframark.
Customer Service - Face to Face and in/outbound calls.
Vendor Invoices - Coding, tracking and forwarding invoices timely to corporate office for payment. Research and initiate resolution for disputable charges.
Property Transitions - This will include all associations entering and exiting contracts with Inframark. Ensures the transition process is handled and communicated in a professional and timely manner. Assist as back up as needed.
Accounts Receivable Checks – Processes account receivable checks for distribution.
R ecords Management – Files and Maintains records.
Coordinates Facility Repairs – He /She will coordinate any facility maintenance or repairs with the building. This can range from electrical problems to changing light bulbs.
Coordinates Vehicle Maintenance and Repairs - He/She will be responsible for ensuring preventative maintenance for the vehicles (washing exterior and getting oil changes) is completed routinely.
Minor purchasing – He/She purchases common use items but is also the "go to person" for any minor purchase.
Support Daily Operations for various departments
QUALIFICATIONS
Ability to write correspondence
Ability to follow written and oral instructions
Knowledge of Microsoft Excel, Word, and Power Point
Great Communication Skills
Ability to Work Alone with Minor Supervision
EDUCATION and/or EXPERIENCE
High school diploma or equivalent and 5 years related experience or an equivalent combination of education and experience
PHYSICAL DEMANDS
Must be able to lift 50 pounds
