SHI Executive Assistant in Austin, Texas

Job Summary

SHI Microsoft & Software Advisory Group is currently looking for an Executive Assistant to be a key player on our growing team. This role is for an experienced administrative professional who is dependable and highly organized, has business maturity, absolute discretion to handle highly confidential information, a proactive attitude, and effective interpersonal skills to work witha variety of stakeholders, from the executive management team to co-workers.

Responsibilities

Include but not limited to:

  • Organize and maintain the Executive calendar, confirm key meetings, and prioritize and schedule meeting requests and conference calls.

  • Organize meetings and conferences for the Executive: Find viable dates if necessary and organize meeting rooms, transportation, and accommodation.

  • Establish response priority and respond to emails.

  • Handle travel logistics and arrangements.

  • Take thorough and accurate meeting minutes and outline follow-up action items.

  • Balance team-based responsibilities with independent projects

  • Field and screen phone calls and emails to establish response priority

  • Create meeting materials based on Executive needs (PowerPoint, Handouts, etc.)

  • Allocate, organize, and stock office supplies in Executive work locations.

  • Troubleshoot basic IT problems and coordinate with the helpdesk to resolve issues.

  • Perform general office duties, including scanning and printing when necessary.

  • Greet and welcome Executive visitors pleasantly and professionally, including vendors, clients, job candidates, and customers.

Qualifications

  • Bachelor’s degree

  • Two years experience supporting executive roles

Required Skills

  • Excellent organizational skills and attention to detail

  • Dependable, with business maturity and absolute discretion to handle highly confidential information

  • Technologically literate with strong computer skills, including proficiency in the whole Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)

  • Cheerful presence and people skills

  • Must be decisive, proactive, and resourceful

  • Strong oral and written communication skills

  • Flexibility in response to rapidly shifting needs

  • Self-starter who can work independently

  • Skill in establishing priorities and maintaining workload

  • Ability to follow directions

Unique Requirements

  • Ability to travel occasionally, as needed. Approximately 10%.

  • Extended hours as necessary to meet Management office hours

Additional Information

  • The estimated annual pay range for this position is $50,000 - $75,000 which includes a base salary and bonus. The compensation for this position is dependent on job-related knowledge, skills, experience, and market location and, therefore, will vary from individual to individual. Benefits may include, but are not limited to, medical, vision, dental, 401K, and flexible spending.
