JOB SUMMARY:
Performs complex (journey-level) administrative support or technical program assistance work.
Work involves assisting in the scheduling and dispatching of emergency and routine
maintenance calls in State owned facilities. Duties include using telephone and computer to
transmit assignments. Data entry of invoices and work orders. Works under general supervision
with moderate latitude for the use of initiative.
ESSENTIAL FUNCTIONS:
Provides assistance answering and dispatching service calls.
Provides support services to all programs within the division.
Process invoices in DocuSign, Invoice Manager, and CAPPS, and enter into the work order system.
Creates, distributes, opens, and closes work orders.
Develops, coordinates, and maintains record keeping and filing system.
Assists in researching invoices and purchase order issues.
Provides support services to all programs within the division.
Enters procurement card transactions into the Citibank database and reconciles monthly.
Process On-Call and Payroll reports for Human Resources.
Maintain FMO Shutdown calendar. Review training material for accuracy.
Maintains confidentiality in the handling of sensitive information.
May supervise the work of others.
Performs related work as assigned.
MINIMUM QUALIFICATIONS:
Graduation from a standard senior high school or completion of GED.
Three (3) years experience in administrative support work.
College education in business administration or technical training in office administrative support or a related field may be substituted for experience on a year-for-year basis.
Must possess the ability to attest to and maintain the security or integrity of the states critical infrastructure requirement to be considered for hire and to maintain employment.
KNOWLEDGE, SKILLS and ABILITIES:
Knowledge of office practices and administrative procedures.
Skill in the use of standard office equipment.
Skill in the use of a personal computer and applicable programs, applications, and systems.
Ability to perform data entry and retrieval.

PHYSICAL REQUIREMENTS AND/OR WORKING CONDITIONS:
This classification functions in a standard offic environment. The position holder must be able to work effectively with people under varying conditions, must be able to work extended periods at a computer, and must be able to work longer than eight hours in a workday as necessary. Physical requirements also include the ability to move items up to 30 lbs., bend, stoop and perform tasks requiring fine motor skills and coordination.
