Performs lease administration function to ensure real estate financial obligations are met and lease terms are in compliance. Will report to the Lease Administration Supervisor

Primary Duties/Responsibilities Prepare and process recurring, and one-time rent charges and payment request information based on lease agreement terms and landlord statements. (Prep rent expenses for payment, compare and analyze variance reports to ensure correct rents are being processed) Assist with audits of annual landlord adjustment invoices, review reconciliation memos and make one-time and recurring entry adjustments in Costar Provide correct voucher numbers for one-time expenses processed in PeopleSoft and send it to APAR for attaching back up images to the voucher for future reference. Review and approve monthly, one-time and special rent payments for all GPC subsidiary portfolios Work with APAR on integration of rent payments to PeopleSoft to ensure rents are being paid and confirm check history is then loaded back into Costar Tracks account receivable payment activity for all subleases - make sure all subtenants and tenants are paying rent to HQ - generate welcome letters to new subtenants and tenants. Code A/R checks, prepare spreadsheets, and download it to PS to post the A/R payments. Enter cash receipts in Costar to create statements. Ensure operating expense reconciliation and reimbursements are done per lease agreement, and are billed customers in a timely manner. Prepare journal entries as needed in PeopleSoft. Generate and distribute various real estate related reports to leadership.

Draft lease correspondence and notices to Tenants/Subtenants Review and analyze leases, amendments and other documents and provide recommendations to leadership to drive innovative solutions Interpret and analyze lease/sublease language and offer advice to the field with regards to their rights and duties for maintenance / repair or other affirmative obligations between Landlord and Tenant as well as offer expertise to all levels of staff within the company Audit documents such as invoices, statements, leases, amendments to leases and other correspondence to determine billable items and bill subtenant or tenant for reimbursement Review lease abstracts in Costar and maintain Costar by abstracting any changes or modifications, such as rental obligations, payment information, Tenant and subtenant changes, etc. Review all documents from lease administration are correct when add or change vendors. Send the vendor add/change requests to VM in APAR and follow up with them. When vendor is added in PS, verify it is correct and notify lease administrators to add the vendor in Costar. Manage Lease vendors in Costar database to ensure precise records, including subtenant and tenant address and payment changes. Review and add in Costar any changes in Commercial Rental Sales Tax for all the lease properties in the Client, Arizona and Hawaii for all subsidiaries at the beginning of every year Responsible for collecting all COIs from Tenants and Subtenants and tracking renewals of Other duties as assigned

Qualifications 3 to 5 years of relative experience PeopleSoft and/or CoStar experience referred (or comparable experience) Highly proficient computer skills, particularly Microsoft Office package Advanced understanding of complex real estate lease terminology Working knowledge of Lease Accounting Ability to maintain excellent organization skills and high level of attention to detail and accuracy Ability to work independently, think critically and demonstrate ownership of job tasks Superior interpersonal skills, negotiating skills and problem-solving ability Excellent verbal/written communication skills Strong team player with ability to interact with all levels of staff within the company

Education Bachelors degree in business, accounting, real estate, or similar field preferred
