Title: Legal Administrative Assistant

Location: Atlanta, GA

Join our dynamic company with this operations and administrative focused role within our Law Department. We are looking for an energetic, team player with a strong background in finance and operations . This role will report to Vice President, Legal Operations. The Legal Administrative Assistant works with a global team of collegial attorneys, compliance professionals, and the legal operations group to define operational and strategic approaches to ensure business success. This person will possess solid accounting skills and strong analytical skills. The role will play an important part in identifying and implementing continuous improvement opportunities, primarily in the department’s financial processes and systems, but will also be able to have a wider impact throughout the department. This position requires active participation in the development and implementation of world class law department operations. A qualified candidate will be a self-starter who demonstrates the internal drive necessary to create, validate and manage multiple processes within a tight timeline.

KEY AREAS OF RESPONSIBILITY

  • Expected responsibilities are to support the Law Vice President with travel arrangements, meeting organization and other areas involving law team support.

  • Manages calendars, independently schedules appointments, reviews invitees, collects materials and prepares the Law Vice President for meetings.

  • Assist with sorting, prioritization and disposition of incoming calls and correspondence (email and postal mail), responding independently when appropriate.

  • Follows-up on action items with direct reports on behalf of reporting manager as required.

  • Prepares and tracks expense reports.

  • Work with finance to support vendor registration and payment.

  • Assist in the arrangement of programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.

  • May provide support and direction to other administrative and operations support staff.

  • Responsible for purchasing card account.

  • Assist Law Vice President as necessary with work assignments.

BASIC REQUIREMENTS & EXPERIENCE

  • 5+ years’ experience in an administrative support or similar role required in a corporate setting.

  • Excellent PC skills; Expert knowledge of MS Outlook, Word, PowerPoint, and Excel.

  • Detail oriented; ability to plan, prioritize and execute multiple concurrent activities.

  • Ability to communicate both orally and in writing in a clear, professional, and pleasant manner.

  • Ability to handle frequent interruptions and changes in priorities.

  • Associate degree or equivalent in certificates/experience.

  • Strong planning and organizing skills.

  • Must be self-motivated and possess the ability to take the initiative to take on and complete assignments that need to be done without being instructed to do so.

  • Ability to work effectively across organizational and functional lines.

  • Must be able to use discretion when dealing with confidential information.
