Russell Sage College Athletics Operations and Budget Manager in Albany, New York

Position: 12 month position providing critical administrative assistance to the Department of Athletics, provide administrative support for assistant and associate athletic directors and all head coaches, primary contact in athletics business office responsibilities, assist with NCAA reporting and special events, serve as the Athletic Budget Coordinator to the Director of Athletics

Duties: The following duties and responsibilities include but are not limited to:

  • Point of contact for the department to students, parents, other college departments

  • Performs general office procedures such as picking up, sorting and delivering the mail daily, mailing packages, tracking all package arrivals, inventorying the contents, orders all office supplies for the department, file management, photocopying, faxing, scanning, and answering phones

  • Travels between campuses as needed

  • Processes all part time employment contracts, all officials' contracts, and is the point person for game officials

  • Inputs all maintenance requests and tracks to completion

  • Utilizes Colleague to input all student-athlete information, prints class schedules for coaches, maintains accurate data per team for course registration purposes

  • Handles rental contracts for outside group rentals, manages receipt of certificate of insurance, payment schedules, and collection of all payments

  • Manages all team fundraising accounts for 21 teams, Gator Golf, Sage Nation, and rental accounts, making deposits and tracking all accounts payables and receivables in the fundraising spreadsheets

  • Manages the department budget, processing all PO's and credit card statements with appropriate coding and account numbers and updating the budget accordingly, maintain protocol for expenses and auditing of credit card statements

  • Processes and tracks all POs for 21 teams, athletic training, athletic communications, and athletic director with appropriate account coding

  • Work closely with the Office of Financial Affairs, responsible for monthly tracking of expenses vs. budget for all teams, use of Sage Advisor to monitor budget activity, develop and maintain department policies about expenditures and budget tracking

  • Schedules and manages all contracts for bus trips for 21 teams, including team specific travel itineraries, date and times of departure, and creates all leave letters for student-athletes to give to their professors

  • Manages van rental contracts, inspections, maintenance repairs scheduling, EZ Pass monitoring, and the daily assignment of vans to specific teams

  • Provide administrative support for intercollegiate athletics search committees and on-boarding procedures

  • Provides support for Intercollegiate athletics including reserving meeting space, creates meeting agendas, takes and distribute meeting minutes

  • Point person for the following banquets/events: Gator Golf Tournament, Hall of Fame banquet, Athletic Awards Banquet, processes all payments, orders necessary equipment, and general organization of events

  • Other duties as assigned

The estimated wage is $23.00 per hour for 37.5 hours per week for 52 weeks.

Job Requirements:

  • Experience in an administrative office required

  • Bachelor's degree preferred.

  • Experience in Athletics setting

  • High level of computer skills: proficient in Microsoft Office, Excel, and Google Suite and knowledge of Colleague/Sage Advisor.

  • Self-motivated, able to function under pressure and handle numerous tasks simultaneously, attentive to detail, excellent organizational and communication skills, ability to work independently and to function as part of a team, ability to maintain confidentiality, experience working with diverse populations.
